Job Description:

The Commercial Operations Specialist is responsible for supporting the Commercial organization by providing sales reporting, CRM administration, business analytics, and operational support that drive informed decision-making and revenue growth.

This role owns the accuracy, integrity, and delivery of Commercial reporting and data, enabling Commercial Leadership to maximize customer-facing time, improve operational efficiency, and make informed business decisions.

This role requires strong analytical skills, advanced Excel knowledge, attention to detail, and the ability to independently manage multiple priorities while partnering with Sales, Marketing, and Operations.

The incumbent will report directly to the Commercial Director.

Commercial Operations Specialist Job Duties:

  • Own the integrity of Commercial reporting by ensuring CRM data quality, reporting accuracy, and timely delivery of business insights that enable Commercial Leadership to make informed decisions.
  • Compile and analyze daily, weekly, and monthly sales performance data to produce accurate, executive-level reports.
  • Maintain and oversee the CRM platform to ensure data integrity, pipeline accuracy, and consistency across the Commercial organization.
  • Conduct routine CRM audits to identify missing, incomplete, or inaccurate opportunity information and communicate deficiencies to the appropriate Sales Representative or Manager for timely resolution.
  • Generate recurring CRM exception reports, including missing opportunity values, close dates, pipeline stages, service lines, activity history, duplicate opportunities, and other required sales data.
  • Build, maintain, and optimize advanced Microsoft Excel workbooks utilizing Pivot Tables, XLOOKUP, VLOOKUP, IF statements, formulas, Power Query, and other analytical tools.
  • Analyze sales performance metrics and identify trends to support strategic business decisions and revenue growth.
  • Identify opportunities to improve administrative and operational workflows by implementing efficient processes and best practices.
  • Recommend and implement process improvements that reduce administrative burden and improve Commercial efficiency.
  • Partner with Commercial Leadership to develop reporting tools, dashboards, scorecards, and performance metrics.
  • Prepare weekly Commercial reporting packages, dashboards, and meeting materials to support Regional Customer Solutions Managers, Commercial Leadership, and Executive Leadership.
  • Support the team by providing Marketing campaign performance reporting, lead generation analytics, and customer data insights.
  • Coordinate the onboarding process for new Sales Representatives, including CRM setup, reporting access, and sales support resources.
  • Maintain Commercial commission QC, identify discrepancies, and prepare commission reporting for leadership review and approval.
  • Collaborate with cross-functional teams to ensure seamless communication and execution of commercial initiatives.
  • Generate reports and presentations for executive leadership to support operational and strategic planning.
  • Protect confidential Company and customer information while maintaining the highest level of professionalism.
  • Perform other job-related duties as assigned.


Requirements:

Qualifications & Skills

  • Advanced proficiency in Microsoft Excel, including Pivot Tables, XLOOKUP, VLOOKUP, IF statements, formulas, Power Query, and data analysis.
  • Strong analytical and problem-solving skills with the ability to interpret data and provide meaningful business insights.
  • Experience working with Customer Relationship Management (CRM) systems and maintaining accurate sales data.
  • Excellent organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
  • Strong written and verbal communication skills with the ability to collaborate effectively across departments.
  • High attention to detail and accuracy when preparing reports, maintaining data, and supporting business operations.
  • Self-motivated with the ability to work independently, take initiative, and identify opportunities to improve processes and operational efficiency.

Education And Experience

  • High school diploma or GED required; Bachelor’s degree in Business, Finance, Marketing, Analytics, or a related field preferred.
  • Two (2) or more years of experience in Sales Operations, Commercial Operations, Business Analysis, or an advanced administrative support role.
  • Advanced proficiency in Microsoft Excel, including Pivot Tables, XLOOKUP, VLOOKUP, IF statements, formulas, Power Query, and data analysis.
  • Experience working with Customer Relationship Management (CRM) systems required.
  • Experience creating executive-level reports, dashboards, and presentations preferred.
  • Experience creating dashboards using Power BI or similar business intelligence platforms is preferred.
  • Experience supporting Sales, Marketing, or Commercial Operations teams preferred.
  • Prior experience in business-to-business (B2B) sales or marketing is preferred.
