Job description

Client Relations Specialist I

The Client Relations Specialist I provides responsive service to retirement plan participants and plan sponsors, ensuring clarity, accuracy, and a positive client experience. This role plays a key part in resolving operational issues, answering account-related questions, and facilitating routine plan interactions. By collaborating with internal teams and maintaining high service standards, the position supports HIS Envoys Group's mission of advancing Biblical stewardship through excellence in client care and operational integrity.

Key Responsibilities

  • Account Management. Support retirement plan participants and plan sponsors with account setup, personal data updates, beneficiary designations, and investment allocation changes, applying attention to detail and confidentiality discipline so every transaction is captured accurately.
  • Compliance and Regulatory Awareness. Stay current on retirement plan regulations and ensure all participant- and sponsor-facing interactions comply with relevant law, IRS guidance, ERISA fiduciary requirements where applicable, and internal policy. Escalate ambiguous or higher-complexity matters to the Client Services Manager and the firm's compliance function as appropriate.
  • Problem Resolution. Respond to participant and plan sponsor concerns with ownership and professionalism. Resolve straightforward service issues directly; escalate complex issues with clear context and recommended next steps, and ensure timely follow-through until the matter is closed.
  • CRM and Documentation. Maintain accurate and timely records of all client interactions and service activities in Salesforce, including case notes, account changes, and follow-up actions. Documentation quality directly supports the firm's audit readiness under SOC 1 and the SEC compliance program.
  • Reporting Support. Generate, review, and deliver routine participant and plan sponsor reports. Verify accuracy before delivery and flag anomalies to the Client Services Manager for review.
  • Front Desk Operations. Provide receptionist coverage as needed to support an excellent onsite client experience, including greeting visitors, routing inbound calls, and supporting day-to-day office operations in the assigned location.
  • Cross-Functional Collaboration. Coordinate with the Operations, Advisory, Compliance, Third-Party Administration (TPA), and Recordkeeping teams to resolve participant issues, streamline service workflows, and align participant- and sponsor-facing communication across the firm.
  • Continuous Development. Build working knowledge of 401(k), 403(b)(7), and 403(b)(9) plan structures and the firm's faith-driven retirement plan offerings. Pursue applicable credentials and licenses (ASPPA QKA, Series 65, life insurance) with firm support, in service of advancement to Client Relations Specialist II or Stewardship Advisory Assistant.

Required Qualifications

  • High school diploma or GED required.
  • Strong verbal and written communication skills.
  • Proficiency with the Microsoft Office suite.
  • Demonstrated attention to detail and accuracy in transactional work.
  • Ability to handle confidential participant and plan sponsor information with discretion.
  • Customer-service orientation, with the ability to remain professional and patient in higher-volume or higher-stress interactions.

Preferred Qualifications

  • College coursework or completed Associate's or Bachelor's degree.
  • One (1) to three (3) years of experience in customer service, benefits administration, or financial services.
  • Experience with Salesforce or a comparable Customer Relationship Management (CRM) platform.
  • Familiarity with 401(k), 403(b)(7), or 403(b)(9) retirement plan structures.
  • Progress toward American Society of Pension Professionals & Actuaries (ASPPA) credentials (e.g., Qualified 401(k) Administrator (QKA)) or applicable financial licenses (Series 65, 63, or 7).

Compensation & Benefits

Compensation: $19–$25 per hour, commensurate with experience and qualifications. As a non-exempt position, this role is eligible for overtime in accordance with applicable federal and state law, and for company profit sharing based on organizational performance.
