Job description

Purchasing Assistant LHH Recruitment Solutions is recruiting for a detail-oriented Purchasing Assistant to join a growing client in Tempe. This role will provide administrative and operational support to the purchasing team, helping ensure purchase orders, vendor communications, invoices, GL coding, documentation, and purchasing records are accurate and completed in a timely manner. This role is compensating up to $28/hr.
The ideal candidate has purchasing or procurement experience, strong attention to detail, and a basic understanding of accounting and general ledger coding.
Responsibilities
  • Assist the purchasing team with daily purchasing and administrative activities
  • Create, enter, and maintain purchase orders and purchasing records
  • Communicate with vendors regarding orders, pricing, availability, and delivery schedules
  • Track purchase orders and follow up on outstanding or delayed orders
  • Review purchasing documentation and invoices for accuracy
  • Assist with GL coding of invoices and purchasing transactions
  • Ensure expenses and purchases are assigned to the appropriate general ledger accounts, cost centers, or departments
  • Research and resolve discrepancies involving purchase orders, invoices, shipments, or deliveries
  • Maintain accurate vendor and product information
  • Assist with obtaining quotes and comparing vendor pricing
  • Coordinate with Accounting, Warehouse, Operations, and other internal departments
  • Maintain spreadsheets, reports, and purchasing trackers
  • Assist with inventory and supply tracking as needed
  • Maintain organized purchasing and accounting documentation
  • Assist with month-end purchasing and invoice-related activities as needed
  • Provide general administrative support to the purchasing department
  • Assist with special projects and other duties as assigned
Qualifications
  • 1-3 years of purchasing, procurement, accounts payable, accounting, or related administrative experience
  • Experience with GL coding is required or strongly preferred
  • Understanding of general ledger accounts, cost centers, and proper expense classification
  • Strong attention to detail and accuracy
  • Excellent organizational and follow-up skills
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office, particularly Excel
  • Experience working with an ERP, purchasing, or accounting system preferred
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong problem-solving and analytical skills
  • Manufacturing, distribution, purchasing, or supply chain experience is a plus
