Purchasing Specialist
Job Summary:
IWT's Purchasing Specialist works as the communication facilitator with Sales and Management teams regarding receiving material ordered by the Program Administrators. It is imperative that the Purchasing Specialist projects a positive attitude, maintains a favorable working relationship with company employees and external vendors, fosters a cooperative and unified environment, focuses on productivity, efficiency, and effectiveness while maintaining the balance of protecting the company’s confidential information.
Major Areas of Accountability:
  • Follow container tracking and update status in computer
  • Work with freight brokers to ensure information is accurate for the timing of container arrival
  • Receive and log all charges regarding freight and duties once confirmed to be accurate and correct
  • Match invoices amp; packing list to PO's and make any necessary changes to PO's
  • Bar code and prepare paperwork for warehouse receiving
  • Check quantities received against invoiced quantities to confirm correct
  • Allocate backorders
  • Receive goods into system
  • Provide ETA's to CS and sales reps
  • Process direct ship orders
  • Keep immediate supervisor fully informed of all problems or unusual matters of significance and take prompt corrective action or suggest courses of action which may be taken to achieve favorable resolutions.
  • Performs other duties and responsibilities as required or requested.
Cross training responsibilities
  • Create new PO's and send to suppliers
  • Verify confirmations against PO's and file
  • Arrange pickup and freight on direct ship orders and material source orders
  • Assist other distributors with purchases (reciprocating purchases)
Essential Job Requirements:
  • Excellent verbal communication skills, proficient in Microsoft programs with the capacity to interact with advanced ERP software.
  • Organizational skills are a must.
Education: High School degree / or GED equivalency
Experience: Minimum 2 years’ experience in related field of expertise preferred.
Required Skills:
  • Works well with management, peers, and subordinates.
  • Ability to always communicate and conduct themselves professionally with people at all levels of the organization and external contacts.
  • Positive interpersonal skills and a friendly customer service orientation
  • Excellent communication skills - verbal and written
  • Above average listening skills
  • Must be able to perform basic math skills, problem analysis and problem-solving
  • Require a high attention to detail and accuracy.
  • Must be adaptable and show initiative.
  • Must possess a high stress tolerance level and thrive under pressure.
Physical Requirements:
  • Must be able to bend, stoop, stand and sit for long periods of time.
  • Must be able to lift 20lbs.
