Overview

Responsible for providing executive assistance to Senior Vice President, Vice Presidents and Directors as assigned to ensure smooth operation of business. These tasks require a significant level of trust and self-discipline/confidential discretion. Tasks will include moderate to advanced difficulty requiring excellent clerical skills in multiple areas. Maintaining communication with various departments and employees, assisting with scheduling, representing the department to employees and outside customers at all levels including administrators. 

Location & Travel: This position is located in our Fargo, ND office and will require up to 20% travel.

Responsibilities
  • Assist assigned leaders with day-to-day tasks as directed
  • Ensure all expense reports, mileage reports, and monthly financials are accurate, timely, and compliant
  • Manage or assist in the departmental corporate overhead budget, including timely submission of invoices as appropriate
  • Prepare data for statistical or trend analysis and report compilations as per department needs or management review purpose
  • Identify workplace safety hazards and take all necessary corrective action to eliminate or minimize them
  • Administer or assist in the edits and updates for procedures and manage the department SharePoint/Teams pages
  • Organize and coordinate meetings, schedule meeting rooms, arrange hotel accommodations, travel, and food
  • Capture and distribute detailed meeting minutes as required
  • May supervisor or mentor other Admins
  • Other duties as assigned

Qualifications

EDUCATION AND WORK EXPERIENCE REQUIREMENTS:

  • Two to four years of college education required
  • Must have two to four years’ equivalent experience as an administrative assistant, experience supporting executive leadership preferred 
  • EPC, construction or engineering environment executive office experience preferred 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Excellent verbal and written communication skills
  • Strong experience in Microsoft Word, Excel, PowerPoint, Outlook, Internet and the ability to be trained in various other systems (in-house programs)
  • Ability to work in a fast paced, dynamic environment with minimal supervision and maintain a high level of confidentiality
  • Ability to multitask and adapt to change as priorities change
  • Ability to identify and resolve issues efficiently and effectively
  • Ability to prioritize tasks and manage deadlines
  • Strong organizational skills
