Description
The Purchasing Coordinator provides administrative and operational support to the Purchasing department by assisting with purchase order processing, vendor communications, order tracking, inventory coordination, and purchasing documentation. This position plays a key role in ensuring materials and supplies are available to support production while maintaining accurate purchasing records and providing excellent internal customer service. Purchase Order Administration • Prepare and process purchase orders as directed by the Purchasing Agent. • Review purchase requisitions for completeness and accuracy. • Enter and maintain purchasing information within the ERP system (Syspro). • Track purchase orders from placement through delivery. Vendor Communication • Communicate with suppliers regarding order acknowledgments, shipment status, and delivery updates. • Assist with obtaining pricing, lead times, and product availability. • Coordinate with vendors to resolve shipping discrepancies or backorders. Inventory & Material Support • Monitor inventory levels and communicate potential shortages to the Purchasing Agent. • Assist in maintaining appropriate inventory levels to support production. • Coordinate material deliveries with warehouse and receiving personnel. Documentation • Maintain purchasing files, vendor records, and price lists. • Ensure purchasing documentation is complete and organized. • Assist with data entry and report preparation. Cross-Functional Support • Work closely with Engineering, Production, Planning, Receiving, and Accounting to ensure timely procurement of materials. • Assist with special purchasing projects and continuous improvement initiatives. • Provide backup support for Purchasing activities during absences or periods of high workload.

Additional Skills & Qualifications
Qualifications • High school diploma or equivalent required; Associate degree preferred. • 1–3 years of purchasing, procurement, inventory, customer service, or administrative experience in a manufacturing environment preferred. • Experience with ERP systems (Syspro experience is a plus). • Strong Microsoft Office skills, particularly Excel. • Excellent organizational and time management skills. • Strong written and verbal communication skills. • Ability to manage multiple priorities in a fast-paced environment. • High attention to detail and accuracy. Preferred Skills • Manufacturing or semiconductor industry experience. • Understanding of purchasing and inventory processes. • Familiarity with supplier communication and purchase order management. • Ability to work independently while collaborating with multiple departments.
