Job description

JOB TITLE: Purchasing Agent

JOB SUMMARY: The Purchasing Agent will work closely with the Purchasing manager and the studio leadership to assist with all aspects of purchasing through the Purchasing studio. This position will report to the Studio Manager and Principal.

KEY RESPONSIBILITIES:

  • Function as company’s Purchasing Agent with ability to work on multiple projects.
  • Represent to the client the purchasing options Direct Source offers.
  • Establish and maintain effective client, contractor and vendor relationships for duration of project.
  • Prepare and issue FF&E Proposals to prospective clients.
  • Prepare and present FF&E preliminary budgets, actual budgets and in some cases budgets for bidding. Update budgets as needed to keep the project current.
  • Prepare and deliver Purchase Orders.
  • Review and process vendor invoices to accounting for payment.
  • Responsible for processing expenses reports for all purchases for project needs. Will be responsible for owning company credit card.
  • Meet deadlines and budgets for time and costs.
  • Maintain contact with vendors throughout the project to keep orders on track and make sure items are delivered on schedule to avoid project delays. Follow up with vendors as necessary to ensure open communication.
  • Create and issue invoices to clients in a timely manner as needed to keep the project on schedule.
  • Work with the manager to assist with warehousing reports with ability to handle issues (ie: damaged or incorrect items) that may arise.
  • Independently manage on site installation of FF&E with ability to travel out of town if necessary.
  • Communicate regularly with teams to keep project designer, team and client up to date through the duration of the project.

QUALIFICATIONS:

  • A degree or background in Interior Design a plus
  • and understanding of FF&E design process and terminology a plus
  • Prior FF&E purchasing experience a plus
  • Ability to read furniture plans and drawings required
  • Able to manage to expectation of clients, vendors, and internal team members effectively
  • General knowledge of accounting, invoicing, billing, and expenses
  • Intermediate experience with Microsoft Excel and basic computer skills;
  • Knowledge of Design Spec specification Software a plus.
  • Knowledge of Quick Books accounting software a plus
  • Self-disciplined and motivated
  • Strong organizational, time management, written and communication skills. Must be detail-oriented

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.
