Office Assistant - Job Description
Position summary
Provide front-office, event-support, and publicity assistance for the Department of Theatre & Dance. The Office Assistant supports administrative operations, recruitment and audition logistics, promotional activities, and event staffing under the direction of the Department Administrative Specialist. This student role develops office, communication, and event-management skills in a theatre/dance environment.
Core responsibilities
Administration & Front Desk (primary)
  • Provide professional phone/email reception and in-person customer service; greet visitors and direct inquiries.
  • Maintain departmental office areas: tidy common spaces, dust, clean glass, disinfect surfaces, restock materials rack and callboard, manage recycling and outdated publications.
  • Perform daily office tasks: mail pickup/delivery, copying, filing, archiving, on campus errands, and basic data entry.
  • Handle confidential department information with discretion and follow office dress code and guidelines.

Publicity & Communications
  • Update Department Publicity schedule each semester and proof all publicity materials before distribution.
  • Prepare and mail Preview Invitation letters to area high schools; maintain relevant Excel lists.
  • Create periodic promotional content for campus outlets (e.g., radio "Read Often") and assist with social media recruitment campaigns as assigned.
  • Maintain poster distribution lists and coordinate poster availability and pickup for practicum students.

Event & Performance Support
  • Assist with coat check operations: ensure cleanliness, supply delivery (programs), flashlight/battery checks, and proper storage/hanging of coats; deliver House Manager binder by preview.
  • Support First Nighters: assist with tabletop design, prepare and organize nametags, set up/check-in materials, and coordinate post-event breakdown/storage.
  • Assist Administrative Assistant and faculty with orientation picnic, recruitment events, tours, and department-hosted activities.

Auditions & Recruitment
  • Assist in planning, setup, and execution of theatre and dance audition days: create volunteer sign-up sheets, manage volunteer assignments, prepare audition schedules and applicant letters, and email schedules to applicants.
  • Set up audition spaces (tables, chairs, media, signage), prepare name badges, manage beverage stations, confirm cleanliness, place spike marks, and supervise student volunteers.
  • Lead group tours for prospective students; represent the Department positively during recruitment and events.

Other duties
  • Perform additional office and event tasks as assigned to support department operations and student learning goals.

Required qualifications
  • Enrolled Theatre, Dance, or Arts Management student in good academic standing.
  • Excellent written and verbal communication and professional telephone etiquette.
  • Proficiency with Microsoft Office (Teams, Word, Excel) and familiarity with Adobe Suite.
  • Strong organizational skills and ability to balance phone duties, visitor reception, and project deadlines.
  • Positive, friendly, professional demeanor; ability to represent the department in recruitment and events.
  • Trustworthy handling of confidential information.
  • Willingness to learn department programs, recruitment procedures, and audition processes.

Preferred qualifications
  • Previous front desk, administrative, or event support experience.
  • Experience with social media content creation or campus publicity channels.
  • Familiarity with theatrical production terminology, front-of-house procedures, or stage management basics.
