Job description

About the CompanyLaunched in 2025, Shields Advanced Therapies is a new platform launched by Shields Health Innovations, the organization led by Jack Shields which has been responsible for the creation and leadership of multiple national leading healthcare enterprises including Shields Health Solutions ($4.25B exit to Walgreens) and Shields Health (largest provider of MRI, PET/CT, and surgical services in New England). Cumulatively, Shields companies have created $10B+ in equity value and $25B+ in net new profit for hospital partners.Shields Advanced Therapies is a commercial, operational, and financial solutions provider to health systems focused on the acceleration of cell and gene therapies. The business is led by a seasoned leadership team and true to Shields' unwavering focus on culture, hospital partnerships, and scaling better care for patients at the lowest cost possible. For the right candidate, this opportunity balances the growth potential of joining an early team at a rapidly growing startup with the risk mitigation of a proven team, the backing of Shields, and commercial traction including partnerships with six of the top 30 US academic medical centers and dozens in the pipeline.Role OverviewThe Advanced Therapies Intake & Scheduling Coordinator is responsible for scheduling inpatient and outpatient advanced therapies-including bone marrow transplant, bispecific antibody, and CAR-T therapies-along with all supporting treatments across the patient care journey. This role requires a working knowledge of how care pathways unfold across multiple advanced therapy types, and the judgment to manage competing scheduling constraints without compromising the patient's treatment timeline. The Coordinator proactively identifies and escalates potential risks or conflicts in patient scheduling before they impact care, and coordinates schedules across a wide range of clinical and non-clinical functions, including physicians, nursing teams, pharmacy, and financial clearance. Because scheduling changes can ripple across a patient's broader care plan, this role also requires the ability to anticipate downstream impacts-understanding how both clinical adjustments and non-clinical factors, such as insurance or coverage changes, can affect a patient's treatment schedule, and coordinating proactively to keep care on track. This role requires strong organizational discipline and the interpersonal ability to work effectively across clinical, operational, and administrative teams in a fast-paced, high-acuity environment. The ideal candidate brings prior oncology scheduling experience-ideally within an academic medical center-and is eager to rapidly learn the operational nuances of advanced therapies such as cell and gene therapy, and how those nuances shape patient data and scheduling requirements.Key ResponsibilitiesSchedule inpatient and outpatient advanced therapies, including bone marrow transplant, bispecific antibody, and CAR-T therapies, along with all supporting treatmentsManage scheduling constraints with a working knowledge of patient care journeys across multiple advanced therapy typesProactively identify and escalate potential risks or conflicts in patient scheduling before they impact careCoordinate schedules across multiple clinical and non-clinical functions, including physicians, nursing teams, pharmacy, and financial clearanceAnticipate and communicate the downstream impacts of schedule shifts, including how clinical changes and non-clinical factors such as insurance changes may affect a patient's treatment timelineServe as a reliable, detail-oriented point of contact for cross-functional teams navigating advanced therapy schedulingSupport the continuous improvement of scheduling tools and processes as the advanced therapies program evolvesQualifications5+ years of experience in healthcare scheduling roles within oncology, ideally within an academic medical centerFast learner with a demonstrated ability to rapidly absorb the operational and clinical nuances of advanced therapies, such as cell and gene therapies, and how those nuances impact patient data and schedulingExcellent organizational capabilities, with the ability to manage multiple scheduling constraints and priorities simultaneouslyHigh proficiency with Microsoft Office tools and EHR systems, specifically EpicAbility to anticipate and communicate the downstream impacts of schedule shifts, including how both clinical changes and non-clinical factors such as insurance changes can affect a patient's treatment scheduleStrong written and verbal communication skills, with the ability to coordinate effectively across physicians, clinical teams, and administrative leadershipPreferred ExperiencePrior scheduling experience supporting cell and gene therapy, bone marrow transplant, or other advanced/complex therapy programsExperience coordinating across pharmacy, nursing, and financial clearance teams in a hospital or health system settingFamiliarity with patient tracking or referral management systems within a health system environmentExperience working within an academic medical center or health system with a dedicated cell and gene therapy or bone marrow transplant program
