GENERAL SUMMARY:
Saginaw Public Schools Data Management Aide/Student Records Aide is responsible for providing assistance to the Executive Director of Special Education and Student Services with data collection, entry, database management, manipulation and reporting for speech, psychology and student records.

KNOWLEDGE, SKILLS AND ABILITIES:
1. Knowledge of Word, Excel, Access, PowerPoint, and related software
2. Skilled in operating standard office equipment

Physical Demands - While performing the duties of this job, the employee is required to sit for long periods of time. Specific vision abilities required by this job include close vision, such as reading data on a computer screen or reports. DUTIES AND RESPONSIBILITIES:
1. Enter all IEPs into skyward
2. File maintenance for speech, psychology and student records (process new referrals, make files, type labels)
3. Run speech reports/case manager/IEP reports
4. Monitor Medicaid billing
a. Notify staff when chosen for random moment in time studies
b. Follow up with staff that have not completed studies
c. Enter/mail/monitor all physician referrals for speech staff (annual referrals are mandated by the State and have to be kept on file for audit purposes)
d. Update Easy Trac website (parental consent forms need to be completed annually and entered into the MedBill website)
e. Monitor billing for speech and psychology
5. Monitor inventory of testing protocol/supplies for speech and psychology
6. Correspond with staff when they fail to complete the RMTS on behalf of the director
7. Follow up with the ISD as it pertains to RMTS
8. Enter all 504 plans into skyward
9. Regularly update all 504 changes as they are submitted
10. Submit monthly 504 reports to all building principals, social workers, and counselors
11. Make files and labels for all incoming IEPs, 504s, and METs of students not already in system, file them appropriately
12. Peruse IEP's to determine if LRE is recorded correctly per IEP
13. Input data per IEP's
14. Fax IEPs/METs to teacher and outside agencies/schools, etc.
15. Comply with requests from teachers and ancillary staff and respond to IEP/MET requests
16. Input temporary placements into skyward
17. Greet and service customers at the window (transcript requests, grades/discipline, census card information, IEPs, METs, etc.)
18. Serve as a resource for building secretaries regarding Worksheet Bs
19. Reconcile errors on reports from Accounting Specialist
20. Generate caseloads
21. Change data from special education maintenance sheet
22. Clone staff assignments
23. Enter new staff in special education module
24. Reassign student caseloads to new teachers/transfer teachers
25. Answer the phones, assist callers or direct to appropriate parties
26. Provide support/answer questions to ancillary staff on behalf of the director
27. Update special education files (clean out, folder maintenance, scan, etc.)
28. Perform other duties as assigned
EDUCATION AND/OR EXPERIENCE:
1. High school graduate or equivalent
2. Specific successful vocational credentials in Computer Science
3. Associate's degree in Computer Science preferred
4. Previous successful experience with data collection, entry, database management and reporting preferred
