Role Description


Sage Integrative Health is seeking a compassionate, organized, and grounded Patient Care Coordinator to join our team in Berkeley, CA. This role is well-suited for someone with experience in wellness, healthcare, or client-facing environments who feels drawn to integrative mental health, trauma-informed care, and psychedelic-assisted therapies.


Responsibilities include managing appointment scheduling, coordinating patient care across services, providing support related to patient inquiries, maintaining accurate records, and fostering a welcoming environment for clients. The role serves as a key point of contact for both clients and providers, ensuring a smooth and professional experience.


The Patient Care Coordinator serves as a first point of contact for individuals seeking care at Sage, holding a central role in shaping each patient’s initial experience. Through clear communication, attuned listening, and thoughtful guidance, this role helps ensure that patients feel welcomed, informed, supported, and connected to the services that best meet their needs.


Responsibilities & Qualifications

  • Exceptional communication skills and a trauma-informed approach to patient care, with the ability to communicate warmly, professionally, and compassionately by phone and email.
  • Experience scheduling appointments in a healthcare, mental health, or wellness setting, including managing provider calendars and coordinating care logistics.
  • Strong patient care, client relations, or service-oriented experience, with a demonstrated ability to create a welcoming, supportive, and responsive experience for individuals seeking care.
  • Ability to provide clear guidance to patients regarding next steps, fees, scheduling, clinic policies, treatment options, and care processes.
  • Strong administrative, organizational, and relational skills, with excellent attention to detail and the ability to manage multiple priorities efficiently.
  • Experience with, or genuine interest in learning about, psychotherapy, integrative mental health care, psychedelic-assisted therapies, and complementary wellness modalities.
  • Comfort using technology and digital platforms daily, including Google Workspace, Electronic Medical Record (EMR) systems, RingCentral, and other administrative tools.
  • Ability to work both independently and collaboratively within a remote and hybrid team environment.
  • Collaborate closely with the Operations and Programs teams to support patient care coordination, efficient workflows, and the smooth functioning of clinic operations.
  • Assist patients in understanding superbills, insurance reimbursement processes, and related administrative questions.
  • Participate in online and/or in-person administrative meetings, trainings, and team gatherings as required.
  • Contribute to a positive clinic culture through professionalism, reliability, empathy, accountability, and care-centered communication.
