Job Details
The Bid Proposal Coordinator- Security Services supports the commercial organization by coordinating the tools, content, processes, and resources required to effectively assembly of responses to Requests for Proposals (RFPs) and Requests for Information (RFIs).
This role is responsible for translating technical security concepts, staffing models, and specialized guard training programs into clear, compelling, and compliant proposals while also maintaining sales collateral, proposal resources, commercial documentation, and sales materials. The role requires strong project management, attention to detail, written communication, and the ability to manage multiple priorities and deadlines simultaneously.
Responsibilities:
  • Coordinate the development and submission of RFPs, RFIs, client questionnaires, presentations, and other sales-related deliverables from initial receipt through final submission.
  • Review solicitation and client documents to identify requirements, deadlines, evaluation criteria, submission instructions, potential risks, and required internal resources.
  • Collaborate with internal stakeholders to capture accurate staffing deployment plans, site patrol frequencies, and hardware specifications for bid proposals.
  • Coordinate with Sales, Operations, Finance, HR, Legal, Marketing, and leadership to gather accurate technical, operational, financial, and corporate information.
  • Gather and organize client requirements related to officer certifications, security clearances, licensing, training, staffing, and other contractual requirements.
  • Work with Operations and Sales to document staffing deployment plans, security officer requirements, patrol frequencies, technology solutions, and other elements of proposed security programs.
  • Partner with Finance and Operations to coordinate pricing inputs, including wage structures, prevailing wage requirements, overtime assumptions, and other relevant pricing components.
  • Translate operational, technical, and security-related information into clear, professional, client-focused proposal content.
  • Coordinate proofreading, formatting, graphic layout, production, and electronic submission of proposals and other commercial documents while maintaining branding standards.
  • Maintain organized digital libraries of sales and proposal materials, including company information, licenses, certifications, health and safety statistics, past performance information, standard proposal content, presentations, and other reusable sales assets.
  • Track procurement portals, bid boards, client communications, and other sources for relevant opportunities and submission updates.
  • Identify opportunities to improve workflows, sales content, templates, document management, and other sales enablement processes.
  • Communicate effectively with internal stakeholders across multiple functions and geographic locations to ensure deliverables remain on schedule.
  • Support special projects and other commercial initiatives as assigned.

Requirements:
  • Bachelor's degree preferred, or equivalent relevant experience.
  • Minimum of 2 years of relevant experience in sales enablement, proposal coordination, sales operations, marketing coordination, business development support, or a related role; 3-5 years preferred.
  • Experience coordinating RFPs, proposals, or other deadline-driven client submissions preferred.
  • Proficiency with Microsoft Office applications.
  • Proficiency with Adobe Acrobat and experience working with document production and electronic submission platforms.
  • Experience utilizing AI tools to support research, content development, document review, productivity, and sales enablement activities.
  • Understanding of physical security operations, access control, video surveillance, security technology, and private security licensing or regulatory requirements is a plus.

Salary is negotiable based on the candidate's relevant industry experience, skills, and qualifications.
