Job Description

SOCOTEC is seeking a Proposal Writer / Proposal Specialist to join our national proposals team and support strategic growth across our buildings and infrastructure consulting practices. This role is ideal for a proposal professional who enjoys turning technical information into clear, persuasive, visually polished submissions and who is comfortable working directly with local technical leaders in a fast-paced AEC consulting environment.

The position may be based in SOCOTEC's New York City or Boston office locations, with the expectation that the selected candidate works in-office four days per week and may work remotely up to one day per week. Because this role supports highly visual qualifications packages and RFP/RFQ responses, advanced proficiency with Adobe InDesign is required.

  • Play a visible role in growing SOCOTEC’s Northeast client base across building envelope, energy, sustainability, commissioning, forensic, infrastructure, and code-related services.
  • Partner directly with principals, project managers, and subject-matter experts to shape win themes, messaging, resumes, project sheets, and compliant proposal responses.
  • Join a collaborative national proposals team while serving as a trusted in-office resource for Florida-based service line leaders.
  • Use both writing and design judgment to produce professional, client-ready submissions in Adobe InDesign.
  • Build a specialized AEC proposal career in a growing consulting platform with diverse technical services and repeat public/private-sector pursuits.

What You Will Do

  • Lead and coordinate proposals, qualifications packages, letters of interest, and interview materials for private-sector, public-sector, municipal, institutional, and contractor-led opportunities.
  • Review RFP/RFQ requirements, develop compliance outlines, identify required forms and attachments, and manage proposal schedules from kickoff through submission.
  • Write, edit, and tailor technical narratives, project approaches, resumes, project descriptions, firm profiles, cover letters, and service line qualifications.
  • Build and format proposal packages in Adobe InDesign, ensuring documents are accurate, attractive, brand-aligned, and easy for evaluators to review.
  • Work with technical leaders to gather scope, fee, staffing, project experience, differentiators, and local market insight.
  • Support and developing familiarity with local municipalities, state agencies, institutional clients, procurement requirements, and regional competitors.
  • Coordinate internal reviews with technical, legal, finance, and leadership stakeholders to produce complete, compliant, and on-time submissions.
  • Provide quality control for proposal content prepared by others, including compliance checks, formatting, proofreading, and consistency review.
  • Maintain and update reusable proposal content, resumes, project sheets, templates, graphics, and client/project information in Deltek Vantagepoint and shared content libraries.
  • Participate in daily proposal team check-ins and help prioritize competing deadlines across multiple active pursuits.

Qualifications
  • 1 to 4 years of experience in proposal writing, proposal coordination, marketing, business development, or qualifications preparation, preferably in the architecture, engineering, construction, environmental, infrastructure, or consulting industries.
  • Significant hands-on proficiency with Adobe InDesign, including document layout, master pages, paragraph/character styles, tables, image placement, and final production of polished proposal documents.
  • Strong writing, editing, proofreading, organization, and deadline-management skills.
  • Experience developing RFP/RFQ responses, qualifications packages, resumes, project sheets, and/or technical marketing content.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Ability to work in-office four days per week.

Preferred Qualifications

  • Experience with AEC public-sector procurement, especially Florida municipalities, state agencies, universities, school districts, transportation agencies, or other institutional clients.
  • Experience with Deltek Vantagepoint, Vision, or another AEC CRM/project database.
  • Familiarity with Adobe Illustrator, Photoshop, Acrobat, SharePoint, or proposal automation/content management tools.
  • Bachelor’s degree in marketing, communications, English, journalism, architecture, engineering, construction management, or a related field; equivalent directly relevant experience may also be considered.
  • APMP, SMPS, CPSM, or similar professional involvement is a plus.
