Job description

Compensation Range:

$50,000 to $75,000.

Job Summary:

As a Proposal Coordinator and Administrative Assistant, you will assist with the business development and growth of Altus Group's Development Advisory group. Specifically, the role will focus on proposals and administrative tasks including research, analysis, development, tracking, and writing proposals for prospective and existing clients.

This role will be based in our Toronto office; however, it is a national mandate where services will be coordinated with other practitioners situated in offices across the Altus Group network.

Key Responsibilities:

  • Liaise with management, technical, proposal and marketing staff to deliver proposals to each project's unique requirements and timelines. Ensure proposals are delivered by the prescribed methods (online, hand delivered, etc.) by deadlines.

  • Search relevant bid sites for potential opportunities as lead consultants and sub consultants, i.e.: Merx, Biddingo, PWGSC/Federal Buy & Sell, and other federal, provincial and municipal websites deemed suitable to identify and refer Expression of Interest (EOI), Request for Proposal (RFP) and Request for Quotation (RFQ) and distribute to appropriate technical staff for review.

  • Manage and update leads in Salesforce, tracking progress from initial entry through to proposals and project execution.

  • Generate reports for technical teams to support follow-up on pending or on-hold proposals. Collaborate with cross-functional teams (e.g., IT, HR) to gather information for standardized proposal responses.

  • Partner with technical staff to develop project descriptions and resumes for marketing and business development purposes.

  • Conduct research to create new content and maintain or update existing materials. Prepare client presentations and supporting materials for senior leadership.

  • Support financial processes, including coordinating monthly invoices, accounts receivable, and expense reporting.

  • Coordinate travel arrangements, internal communications across offices/business units, and assist with planning client and internal events.

Key Qualifications:

  • University degree in Marketing, Communications, Business, Journalism, or a related field.

  • 0-3 years of relevant experience; familiarity with professional services, construction, or real estate is an asset.

  • Excellent organizational, time management, and multitasking abilities, with a proven capacity to work under pressure and adapt to changing priorities.

  • Strong interpersonal and client service skills, with the ability to build relationships across all levels of the organization.

  • Solid research, analytical, and detail-oriented capabilities to support high-quality deliverables. Proficiency in Microsoft Office; experience with Adobe Creative Suite and Salesforce is an asset, with the ability to learn new tools and produce visually compelling, on-brand materials.

  • Strong writing, editing, and proofreading skills with the ability to develop proposals, correspondence, and presentations.

  • Bilingual in English and French is an asset.
