Job description

Overview

BerryDunn is seeking a highly organized and proactive Administrative Assistant to support the day-to-day operations of our Portland, Maine office. In this role, you will provide office and administrative support, including managing supplies, coordinating mail and deliveries, and maintaining organized workspaces.  You will also support document production by printing, processing, and shipping proposals and other business materials. Additionally, you will coordinate meeting and event logistics, ensuring conference and common areas are prepared and well-equipped. The ideal candidate is detail-oriented, and possesses strong customer service, organizational, and communication skills. This position is based in our Portland, ME office.

You Will
  • Office & Supply Management: Maintain and stock kitchens and resource rooms, complete weekly inventory of office and kitchen supplies, and order items as needed. 
  • Proposal Production: Print, bind, and ship proposals and other business documents in accordance with firm standards.
  • Mail & Package Coordination: Receive, sort, and distribute incoming mail and packages, coordinate deliveries to remote staff, and communicate with employees regarding package arrivals and pickup.
  • Meeting & Event Support: Assist with the planning, coordination, and onsite support of meetings, conferences, and company events.
  • Equipment Coordination: Coordinate equipment shipments and returns, manage requests through the service management system, and document completed actions and status updates.
  • Confidential Information Management: Handle sensitive and confidential information with discretion and professionalism.
  • Data Management: Maintain databases, update records, and ensure accurate and complete documentation
  • General Support: Provide general administrative and clerical support to teams and departments across the firm as needed.
You Have
  • Comfort with learning and using technology and software applications with a proficiency in Microsoft Office and Adobe applications; SharePoint and Copilot experience is a plus.
  • Strong interpersonal and communication skills, with a knack for providing exceptional support and service to others
  • Exceptional organizational and planning skills, with the ability to anticipate needs, manage priorities, and follow through on details.
  • Strong attention to detail with a high degree of accuracy and consistency.
  • Strong problem-solving skills and the ability to exercise sound judgment.
  • Self-motivated with the ability to work independently and contribute to a team environment
  • Ability to handle sensitive information with discretion and professionalism.
  • Service-oriented with a professional, helpful, and responsive attitude.
  • Ability to occasionally lift up to 30 pounds and perform tasks that may require pushing carts, bending, carrying, and lifting.
Compensation Details

The hourly rate for this role is $24-$26 per hour. This rate range represents BerryDunn's good faith and reasonable estimate of the possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications more than the minimum requirements for this posting, that applicant is encouraged to apply, and a final rate may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The hourly rate for the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
