About the Role

Defined Property Management LLC is seeking a highly organized and proactive Floating Property Operations Coordinator (Field-Based) to support our Property Management POD structure across the Greater Los Angeles area.

This role serves as the physical extension of the Property Management team in the field. While Property Managers oversee portfolio performance, resident communication, and overall operations remotely, the Property Operations Coordinator ensures day-to-day execution at the property level through routine site visits, operational follow-through, inspections, notice posting, and quality control oversight.

This is a fast-paced, field-driven role ideal for someone who thrives being out in the field, working independently while solving problems proactively, maintaining high building standards, reporting any issues to the designated POD, and supporting operational excellence across a growing multifamily portfolio.

The ideal candidate is detail-oriented, accountable, resourceful, and capable of operating autonomously while serving as the “boots on the ground” support partner to the Property Management POD. Who is comfortable working primarily in the field, with a strong focus on traveling throughout the Greater Los Angeles area.

Key Responsibilities

  • Conduct routine property visits to ensure overall building appearance, cleanliness, curb appeal, and operational standards are maintained.
  • Perform periodic property inspections and document findings through company systems and reporting tools.
  • Conduct quality control inspections on unit turns to ensure units meet Defined Property Management standards prior to move-in.
  • Post required notices, legal postings, and operational communications at properties as directed by the Property Management team.
  • Assist with occupancy walks, move-in readiness checks, and vacant unit verification.
  • Serve as the field support extension of the Property Management POD by helping execute operational tasks that require physical presence onsite.
  • Document property concerns, lease violations, safety hazards, and operational issues, escalating findings appropriately.
  • Support resident experience initiatives through proactive site presence and professional interactions with residents.
  • Coordinate access for vendors, inspectors, utility providers, and internal teams when needed.
  • Verify completion of vendor work, unit turnover, and renovations, in the field and report quality concerns back to the appropriate department.
  • Conduct photo documentation and reporting for ownership, operations, leasing, or maintenance needs, including move-in / out workflows
  • Support property onboarding activities for newly acquired or transitioned assets.
  • Ensure common areas, signage, notices, and property standards remain compliant and professionally maintained.
  • Assist with special projects, operational audits, and portfolio-wide initiatives as assigned.

Important Role Clarification

This role is operational and field-focused and is not responsible for maintenance coordination, vendor scheduling, or work order management. The Floating Property Operations Coordinator partners closely with the Property Management and Repairs & Maintenance teams but primarily focuses on field execution, inspections, quality control, and operational support across the assigned portfolio.

Qualifications

  • 2+ years of experience in multifamily property management, field operations, hospitality, inspections, or a similar field-based role.
  • Strong organizational skills and ability to manage multiple properties and priorities independently.
  • Excellent communication and interpersonal skills.
  • Ability to identify operational issues proactively and escalate appropriately.
  • Comfortable working primarily in the field across multiple sites daily.
  • Experience using property management software such as AppFolio is a plus.
  • Strong attention to detail and accountability.
  • Valid driver’s license and reliable transportation required.
  • Comfortable working independently while collaborating cross-functionally to ensure operational efficiency and portfolio excellence.
