JOB SUMMARY:ย The Assistant Property Manager supports the Property Manager in overseeing the day-to-day financial, operational, and administrative functions of a multi-family residential community. This role plays a keyย roleย in resident relations, rent collection, leasing support, financial reporting, and property operations to ensure the overall success and smooth running of the property.ย 

ESSENTIAL DUTIES AND RESPONSIBILITIES:ย include the following but are not limited to the job specificationsย containedย herein.ย Additionalย duties or job functions that can be performed safely may beย requiredย asย deemedย necessary by Harbor Group Management Company.ย 

  • Collect and post rent, fees, and other payments; manage delinquencies and implement collection procedures.ย 

  • Prepare daily bank deposits, reconcile bank accounts, and complete financial reporting tasks.ย 

  • Process accountsย payableย and vendorย invoices;ย ensure proper coding, approvals, and reconciliation.ย 

  • Assistย with month-end close-out procedures, general ledger postings, and security deposit accounting.ย 

  • Assistย in leasing efforts including showing units, processing applications, and executing lease agreements.ย 

  • Support lease renewal programs and educate new and prospective residents on community policies.ย 

  • Shop competitive properties regularly toย maintainย market awareness.ย 

  • Respond promptly and professionally to resident complaints, service requests, and inquiries.ย 

  • Promote resident satisfaction and retention through excellent customer service and proactive communication.ย 

  • Circulate community notices and correspondence on a weekly, monthly, or as-needed basis.ย 

  • Use property management software (e.g., Yardi, OneSite, or MRI) for transaction entry, record keeping, and reporting.ย 

  • Ensure compliance with company policies, lease agreements, legal requirements, and fair housing laws.ย 

  • Assistย with resident move-ins and move-outs, including lease term reviews, fee application, and disposition processing.ย 

  • Coordinate with the maintenance team to ensureย timelyย unit turns and service requests.ย 

  • Act asย on-site supervisor in the absence of the Property Manager.ย 

  • Assistย in training and supervising property staff, delegating tasks asย appropriate.ย 

  • Maintain open communication with ownership/management and provide community performance updates as needed.ย 

QUALIFICATIONS:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High School Diploma or equivalent.ย ย ย ย 

  • Minimum of two years of experience in multifamily property management.ย ย ย ย 

  • Strong understanding of lease agreements, rent collection, and lease enforcement procedures.ย ย ย ย 

  • Proficient with Microsoft Office and Property Management software experience is a must.ย ย ย ย 

  • Comfortable with G/L postings, SODA (Security Deposit Accounting), and financial reconciliations.ย ย 

  • Proficiencyย in social media platforms (e.g., Facebook, Instagram, LinkedIn, etc.) is preferred.ย ย ย ย 

  • Excellent organizational and communication skills with the ability to manage multiple tasks and deadlines in a fast-paced environment.ย ย ย ย ย ย 

  • Strong attention to detail, problem-solving skills, and the ability to work independently or as part of a team.ย ย ย ย ย 

  • Must be customer-service oriented with the ability to interact professionally with residents and vendors.ย ย ย ย 

  • Valid driverโ€™s licenseย requiredย (for operating golf carts ifย applicable).ย
