Plaintiff's personal injury litigation firm is seeking a Legal Receptionist / Intake Specialist to become a part of our growing team. Fluent in both English and Spanish is required. Experience in a law office setting is preferred, but not required.
Responsibilities / Duties:
  • Meet, greet, and screen new potential clients over the phone or in person
  • Answer and route incoming calls on a multi-line telephone system and take detailed messages as needed.
  • Perform clerical duties such as filing, copying, faxing, emailing, etc.
  • Ensure neatness of lobby and conference room areas.
  • Monitor reception area so that non-employees are not permitted into the office without being identified.
  • Provide interpreting and translating services (both verbal conversation and reading and translating written documents) for Spanish-speaking clients.
  • Onboard new clients by gathering, processing, and managing information through the firm's system
  • Enter and set up new client information into the firm's database
  • Make follow up calls to potential new clients and gather missing documents
  • Regularly email management with new intakes for case assignment
  • Assist in updating the firm's spreadsheets as cases are signed up
  • Draft and send out drop notices, letters of protection, and letters of representation
  • Gather incident reports and police reports for case evaluation
  • Perform other duties as assigned

Requirements
  • Fluent in Spanish and English
  • Strong written, proofing, and verbal communication skills required
  • Excellent customer service skills
  • Compassionate and able to handle sensitive and confidential information
  • Ability to prioritize tasks, manage time properly, and work independently
  • High attention to detail and organizational skills
  • Due to constant client contact, must be customer-service oriented and present a professional image
  • Ability to thrive in a fast-paced, dynamic environment
