Job description


ABOUT THE POSITION

The Rural Renaissance Roadshow Intern will support Groundswell's Rural Events Team in planning and executing the Rural Renaissance Roadshow, Groundswellโ€™s flagship annual convening that uplifts rural leadership addressing the energy affordability crisis in rural America. Bringing together approximately 300 attendees, the Roadshow creates opportunities for collaboration, learning, and collective action among rural leaders and community partners.

This internship offers hands-on experience in event planning, project management, stakeholder engagement, and nonprofit marketing and communications. The Intern will play an integral role in communicating with Roadshow speakers on event logistics, coordinating with the Marketing and Communications team to support event communications and collateral development for speakers, partners, and sponsors, supporting the tracking of communications and data on partnership development, and collaborating across teams to ensure a successful and impactful event experience.


KEY RESPONSIBILITIES

Speaker and Event Coordination

  • Communicate with confirmed event speakers regarding event expectations, timelines, and logistics.
  • Coordinate speaker registration and maintain accurate speaker records and event materials.
  • Schedule and facilitate speaker preparation calls as needed.
  • Serve as the primary liaison between speakers and Groundswell's Marketing and Communications team to coordinate the development of promotional materials. Track speaker deliverables and ensure deadlines are met.

Event Communications

  • Collaborate with the Marketing and Communications team to develop and distribute event-related communications.
  • Assist in creating promotional materials, including newsletter content, social media posts, and event announcements.
  • Support attendees and stakeholder communications leading up to the event.
  • Help maintain event timelines and communication calendars to ensure timely dissemination of information.

Event Planning and Project Management

  • Support the Events Team with vendor research and selection for catering, merchandise, musicians, venues, and other event-related services.
  • Assist with contract execution, documentation, and vendor management.
  • Maintain project management tools and timelines to track event deliverables and milestones.
  • Participate in planning meetings and provide administrative and logistical support for event preparations.
  • Assist with on-site event coordination during the Rural Renaissance Roadshow as needed.
  • Perform other duties as assigned in support of the Rural Events Team and organizational priorities.

WORK ENVIRONMENT

This is a remote position based in Decatur, AL.


POSITION TYPE AND EXPECTED HOURS

This is a part-time internship, a 20-hour-a-week position that will run through November 2026. The days and hours of work are Monday through Friday, between 9:00 a.m. and 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.


TRAVEL

Occasional regional travel will be required for this position. Occasional visits to Groundswell office locations may be required.


REQUIRED EDUCATION AND EXPERIENCE

  • High School Graduate.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Demonstrated ability to work collaboratively with diverse stakeholders.
  • Proficiency with Microsoft Office Suite
  • Interest in rural leadership, community engagement, and advancing locally led solutions to the energy and affordability crisis is strongly preferred.


SUPERVISION

The Rural Renaissance Intern will report to the Manager of Rural Events & Special Assistant to the CEO.


COMPENSATION

Compensation for this position is $20 per hour.
