Projects Manager information

What does a projects manager do?

A Projects Manager is responsible for planning, executing, and overseeing projects within an organization to ensure they are completed on time, within scope, and on budget. They coordinate with teams, allocate resources, manage timelines, and communicate with stakeholders to track progress and address any issues that arise. Projects Managers play a key role in ensuring project objectives align with organizational goals and are delivered successfully.

What are the key skills and qualifications needed to thrive as a projects manager, and why are they important?

To thrive as a Projects Manager, you need strong project management skills, leadership abilities, and a background in business or a related field, often supported by a bachelor's degree or higher. Familiarity with project management software such as Microsoft Project, Asana, or Jira, and certifications like PMP or PRINCE2, are commonly required. Exceptional communication, problem-solving, and organizational skills help you motivate teams and adapt to dynamic project demands. These competencies ensure projects are delivered on time, within scope and budget, and foster a productive, collaborative environment.

How does a projects manager typically balance multiple projects and ensure deadlines are met?

A Projects Manager often oversees several projects simultaneously, which requires strong organizational and prioritization skills. They rely on project management tools, regular progress meetings, and clear communication to track milestones and address potential bottlenecks early. Effective delegation and collaboration with cross-functional teams are also key, as Projects Managers must align resources and expectations while adapting to shifting priorities. This dynamic environment encourages continual learning and offers opportunities to develop leadership and strategic planning abilities.

According to industry data, the median annual salary for project managers ranges from $70,000 to over $120,000, with those holding certifications like PMP often earning higher wages. Strong organizational and leadership skills, along with proficiency in project management tools, can also influence compensation.

THE WORK:
  • You'll provide specialized project coordination and administrative support for our client's Chino Basin Improvement Program (CBP) engineering and construction projects throughout planning, design, procurement, construction, and closeout.
  • You'll work closely with project managers, consultants, and internal departments to coordinate project documentation, financial transactions, reporting, meetings, records, and administrative deadlines.
  • You'll maintain project trackers, action items, deadlines, project status information, and administrative deliverables to keep multiple projects on track simultaneously.
  • You'll support preparation, routing, tracking, and administration of professional services agreements, construction contracts, purchase orders, task orders, amendments, and change orders.
  • You'll review and process invoices and pay estimates for accuracy, appropriate project/job cost coding, and required approvals — and develop Excel tools to support cost monitoring and forecasting.
  • You'll maintain complete, accurate electronic project records in compliance with agency policies and coordinate administrative project closeout activities.
  • You'll coordinate meetings and workshops — including scheduling, agendas, materials, and action-item tracking — and draft and proofread correspondence, reports, and other project documentation.
  • You'll compile financial and performance data to support project managers and management reporting across multiple systems and sources.

Onsite at client site: The work location for this role is onsite with our clients, 4 days per week, to enable delivery and cultivate client relationships.

With all our roles, there is some in-person time for collaboration, learning and building relationships with clients, peers, leaders and communities. As an employer, we will be as flexible as possible to support your specific work/life needs.

HERE'S WHAT YOU'll NEED:
  • Minimum 5 years of progressively responsible experience in project coordination, project administration, contract administration, or administrative support for engineering, construction, public works, utilities, or capital improvement projects
  • Experience supporting multiple projects and project managers simultaneously, including contract and procurement documentation, invoice and pay estimate processing, budget and cost tracking, project records, and meeting coordination
  • 5 years using Microsoft 365 (Excel, Word, PowerPoint, Outlook, Teams) and ERP/financial systems such as SAP or equivalent in a professional setting
  • 5 years of experience with project management, construction management, or document control systems, and electronic invoice/workflow systems
  • 5 years of experience with reporting and tracking tools such as Excel, Smartsheet, Power BI, or equivalent, and PDF/document review software such as Adobe or Bluebeam
BONUS POINTS IF YOU HAVE:
  • Experience in a public agency, water/wastewater utility, engineering firm, or construction environment
  • Specialized knowledge of the water and wastewater engineering and construction industry
  • Experience with electronic records management and document control in a public agency setting
  • Familiarity with DIR requirements, certified payroll records, stop notices, preliminary notices, and other public works contract compliance documentation
  • Experience coordinating project closeout activities including Notices of Completion, retention processing, and final records archiving
  • Strong analytical, organizational, written and verbal communication, time-management, and problem-solving skills with the ability to independently prioritize multiple assignments and deadlines
