Job description

This role requires a highly organized, detail-oriented professional with exceptional communication, project management, and strategic thinking skills to successfully manage multiple concurrent proposal efforts.
Essential Functions
  • Lead the day-to-day management of the entire proposal effort
  • Drive the proposal process to meet timelines, Owner specifications, and team requirements
  • Work with teams across the company (including marketing, business development, estimating, project management, preconstruction, and operations) to coordinate and develop proposal content that highlights our strengths and aligns with project strategy, team qualifications, and construction capabilities
  • Develop proposal strategy and win themes tailored to each opportunity, ensuring alignment with Owner goals, project requirements, and company strengths
  • Schedule, facilitate, and track proposal meetings, deliverables, deadlines, and quality control reviews
  • Ensure compliance with RFP instructions, evaluation criteria, and Owner specifications
  • Oversee layout, writing, editing, and formatting of proposal content to maintain quality, consistency, and branding standards
  • Lead post-submission debriefs and continuous improvement efforts by capturing lessons learned and refining proposal processes
  • Perform other duties and responsibilities as assigned

Qualifications
  • Bachelor's degree (Business or Marketing major preferred)
  • 5+ years of relevant, professional experience managing/coordinating and writing major proposal efforts
  • Must be confident leading others through capture planning and proposal development processes and asserting that proposals meet all prospective client requirements
  • Ability to give clear, concise directions to others and organize large volumes of information
  • Demonstrated ability to multitask, work in a fast-paced environment, and meet deadlines with short notice
  • Demonstrate proficiency and knowledge in Adobe InDesign and Microsoft Office including Microsoft Teams
  • Thrives in an environment working with cross-functional teams and remote team members
  • Five years experience using InDesign
  • Three years of experience in a technical/creative writing role
  • Two years of experience in print production
  • Strong written and verbal communication skills
  • Ability to operate under tight deadlines and manage urgent requests
  • Analytical and problem-solving abilities
  • Ability to assemble proposals to specification
  • Understanding of typography and print production is a plus

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is largely a sedentary role; however, this position may occasionally require the ability to lift and move up to 25 pounds of paper, files, and/or equipment. This position requires the ability to sit and/or stand for extended periods of time to enter data into multiple systems and conduct face-to-face meetings or interviews.
Position Type/Expected Hours of Work
This is a full-time non-union position. The scheduled hours are 40 to 50 hours per week Monday through Friday but may be extended as required to execute the tasks assigned.
Travel
This position may require occasional travel.
Required Education and Experience
Bachelor's degree (Business or Marketing major preferred) and a minimum of 5 years of relevant, professional experience managing/coordinating and writing major proposal efforts.

  1. Must pass a pre-employment screen, including but not limited to a drug and alcohol screen, background check, motor vehicle records check, reference check and physical (if applicable).
  2. Current and valid driver's license in the state of permanent residence (must be insurable by Jaynes automobile insurance carrier in order to drive a Jaynes vehicle).
  3. Must be eligible per Fleet Safety Management policy to operate a company vehicle or a personal vehicle for company purposes.
