Project Procurement Specialist

Diamond Contractors is a small, hardworking team that values clear communication, accuracy, and reliability. We're looking for a Project Procurement Specialist to help coordinate subcontractor pricing for commercial construction projects across the U.S. This role is essential to keeping our bidding and project processes moving smoothly.
Position Overview
The Project Procurement Specialist is responsible for soliciting pricing from subcontractors, organizing bid information, and ensuring complete and accurate responses for each project. Most communication will be through phone, email, and the BuildingConnected platform. You'll prepare electronic solicitations, monitor responses, follow up with bidders, and summarize results for the Project Manager overseeing the job.
This role requires steady communication, attention to detail, and the ability to keep information organized and moving. You'll work closely with subcontractors and Project Managers to ensure all pricing is received, accurate, and compliant with project requirements.
Responsibilities
- Assemble project information and post solicitations on BuildingConnected
- Identify appropriate subcontractors to invite, using platform tools and PM recommendations
- Communicate with bidders before, during, and after solicitations to encourage participation and answer basic questions
- Monitor bid events for accuracy, responsiveness, and completeness
- Track addenda and ensure subcontractors receive updated documents
- Summarize bids on due dates and provide clean, organized results to the Project Manager
- Coordinate with PMs to resolve bidder questions or missing information
- Maintain consistent communication and follow-up with subcontractors
- Support improvements to the procurement process for clarity and efficiency
- Assist with other procurement or administrative tasks as needed
Required Skills & Experience
- High school diploma or equivalent
- 1-2 years of construction experience or subcontractor coordination
- Strong communication skills - clear, tactful, and professional
- Basic proficiency in Word and Excel
- Ability to stay organized and manage multiple deadlines
- Comfortable working independently and within a team
- Steady, reliable work ethic and willingness to learn
Preferred Experience
- Familiarity with BuildingConnected or similar platforms
- Experience working with subcontractors
- Understanding of basic construction terminology
- Confidence making phone calls and following up with bidders
