About the Department

You will be joining Fill & Finish Expansions (FFEx), which is responsible for all major expansion activities within aseptic production, solid dosage forms, finished products, fill & finish warehousing, and QC across all production areas in Product Supply. The area is anchored in Product Supply, Quality & IT, which globally employ approx. 20,000 of Novo Nordisk's 50,000 employees.

FFEx is a newly established and growing area with the responsibility to design, plan, and build all new aseptic filling capacity across Novo Nordisk to serve the needs of millions of patients. The Position

Primary contact for site DFP Investment Manager for site Project Portfolio for Prioritization. Responsible for monthly status updates, investment budget, DFP IPG & IPG coordination of presentations & meetings. Ensure new DFP investment requirements & processes improvements are integrated with our current & local processes. Manage the overall site Project Portfolio Management (PPM) process. Provide strategic review of the overall site Project Portfolio as changes in site strategy, or business impact occur to provide guidance & ensure the right projects are being worked on in alignment with current site strategy. Drive link between site strategy, roadmaps, & project prioritization. Ensure consistent steering group (STG) across site & provide training to PM & (STG) participants. Ensure timely communication of project risks & resource constraints.

Relationships

Reports to Senior Manager, Finance & Procurement.

Essential Functions

  • Build, manage, & continuously improve the site Project Portfolio Management (PPM) process
  • Lead the site PPM prioritization & implementation planning process twice yearly in alignment with AB & RE budget cycles & facilitate discussions with site management to ensure site alignment on the overall project portfolio
  • Provide PPM support, in conjunction with Finance, to the development of the NNPILP Investment Budget
  • Lead the overall monthly steering group process, & ensure standardization of STG materials, agenda, & approach across all director areas
  • Responsible for PPM communications to management & other stakeholders
  • React on trends & challenge, propose solutions to solve gaps & drive the implementation process
  • Responsible for consistency of Gate presentation & ensure that benefit realization gets reported & anchored according to the Gate commitments
  • Responsible for ensuring project plan accomplishes time, quality, impact, & cost objectives
  • Drive continuous improvements on PPM process
  • Support project managers in their project execution & presentation to STG
  • Drive & challenge projects with the resource knowledge gained from the different STG meetings & proactively work with stakeholder to resolve challenges
  • Coordinate & facilitate assigned monthly steering group (STG) meetings, PPM SLT meeting, & DFP IPG presentation coordination
  • Assists in Gate 5 preparation of Site Portfolio level, DFP IPG & IPG projects
  • Primary site contact for Project Portfolio coordination with corporate DFP Investment Manager regarding DFP IPG & IPG presentations & meetings
  • Ensure PPM training material is current & aligned with site & corporate best practices & provide training & support to Project Managers & LOB on PPM processes & templates
  • Actively participates in DFP Project Portfolio Management Network & provides support & coaching among the network members & site personnel
  • Responsible for overall monthly steering group process by coordinating & facilitating steering group meetings, while ensuring standardization of STG materials, agenda, & approach, across director areas & PPM SLT meeting
  • Develop & maintain project portfolios in Clarity, including creating new projects, managing changes, all project gate approvals & processing of investment applications
  • Management of project portfolio overview file & monthly clarity status reporting
  • Ensure adequate & consistent resource overview across the portfolio
  • Drive & challenge projects with the resource knowledge gained from the different STG meetings & proactively work with stakeholder to resolve challenges
  • Develop & maintain metrics for the overall site project portfolio to monitor health & performance of project portfolio
  • React on trends & challenge, propose solutions to solve gaps & drive the implementation process
  • Development & Management of the PPM Governance SharePoint site
  • Site Clarity Super User
  • Other accountabilities, as assigned

Physical Requirements

Ability to work in an open office environment with the possibility of frequent distraction. Ability to travel up to 10% of the time. (% can change on a case-by-case basis based on the role.).

Qualifications

  • Bachelor's Degree in project management, business, or an equivalent combination of education & industry experience required
  • Minimum seven (7) years of demonstrated project / change management skills in a pharmaceutical, manufacturing, or business environment preferred
  • Advanced Project or Portfolio Management competencies obtained through relevant training or experience required
  • Advanced user of MS Excel & PowerPoint preferred
  • Clarity Super User preferred
  • Proven project portfolio management skills & thorough understanding of project management processes, documentation, & standards preferred
  • Ability to create & manage detailed project portfolio schedules preferred
  • Demonstrated team leadership & collaboration across all levels of management preferred        
  • Proven experience in planning / organizing, managing, & revising detailed project portfolio schedules & agendas required
  • Demonstrates strong changes management skills required
