JOB SUMMARY
As the Project Manager you will play a crucial role in coordinating and executing direct mail projects, ensuring their successful completion on time and within budget. You will collaborate with various internal departments, including prepress, data processing, and production, to facilitate the seamless flow of projects from initiation to final delivery.

Responsibilities and Activities
  • Downloads and organizes project specifications, mail grids, and client instructions.
  • Manages postage requirements, stamps, and currency.
  • Creates and maintains project folders; enter job details into Innsight and Printstream.
  • Coordinates with clients, internal teams (Art, Data) to ensure smooth project Execution.
  • Retrieves and submits art and data files; manage revisions and approvals.
  • Enters approved quantities into the ERP system; generate work orders.
  • Completes data processing forms and coordinates with the Data production units
  • Calculates and requests postage funds; track receipts and update records.
  • Ensures packages comply with Postal Regulations
  • Coordinates shipping, print production orders, and manages inventory.
  • Reviews and submits pre-bills to accounting for approval.
  • Enters package specifications to creates lettershop instructions, and manages work orders.
  • Manages the direct communication with client via cellphone, email and face to face.
  • Attends and Conducts meetings with clients, internal departments to review job progress, production timelines, shipping details, and upcoming tasks.
  • Conducts quality checks and collaborate with clients to identify and resolve any issues.
  • Performs additional responsibilities as required to ensure the team's success.

QUALIFICATIONS
Education
  • Minimum requirement of a Bachelor's degree in Advertising, Marketing, Business, Project Management, or other related major or combination of education and equivalent experience.

Work Experience
  • Prior experience in project management or coordination is beneficial.
  • Experience in the printing or direct mail industry is a plus.

Knowledge, Skills, and Abilities
  • Understanding of the printing industry, direct mail processes, postal regulations, and project management best practices.
  • Familiarity with data management, analysis, and proficiency in Microsoft Office or Google Suite.
  • Working knowledge of project management software (such as PrintStream) is a plus.
  • Excellent written and verbal communication, strong interpersonal, organizational, and time management skills.
  • Detail-oriented with an ability to manage multiple tasks and meet critical deadlines.
  • Attention to detail, problem-solving, decision-making, and adaptability to changing priorities.
  • Ability to work independently, handle multiple projects, and build strong relationships.
