Job description

Rize is a boutique real estate developer with its own in-house construction team, Hovercraft Builders, that focuses on large scale, design forward, commercial and residential communities. Role Summary 

The Project Coordinator is responsible for providing technical engineering information and interpretation of plans, detail sheets and specifications for the construction team. The Project Coordinator will ensure construction work complies with all engineering standards, codes, specifications, and design instructions. They help create a cohesive team environment and is accountable for his/her own tasks and responsibilities. The Project Coordinator will be a part of our construction team, Hovercraft Builders, and report to the Project Manager.


This role is primarily based at the project site in Maple Ridge, with some time spent at our head office in downtown Vancouver.


Responsibilities

Document/Project Controls 

  • Prepares and files correspondence, documents and contracts relating to project consultants, contractors, tenderers, and suppliers. Archives documents as required.
  • Helps with drawing quantity takeoffs under direction of the Project Manager.  
  • Prepares tender packages for bidding and assembles documents required by contractors for bidding.
  • Reviews quotes received during tender and inputs them into the Tender Analysis forms.  
  • Assists with creating and updating the construction budget monthly and at major milestones. 
  • Assists with the startup, implementation and project closeout process for a construction project.
  • Ensures that documents are updated or replaced as revisions or new issues occur.  
  • Creates, updates and issues: drawings & drawing lists, specifications, purchase orders and contract logs, change orders, submittals & submittal logs, site instructions & site instruction logs, RFI’s & RFI logs, project planner, LEED documents, Consultant field reviews, holdback documents, tender scopes of work, and awarded contracts. 
  • Orders copies of drawings, details, and specifications for the construction group.  
  • Procore site management, including tender releases and file sharing to site staff and consultants.
  • Prepares change order approvals and tracking of all contract change orders and purchase orders.
  • Assists with creating, tracking and reporting the Rize’s Quality and Project Specific Safety Program.
  • Assists with acquiring or miscellaneous permits from local jurisdictions.
  • Works alongside RizeCare to address deficiencies before and after homeowner orientations. 


Project Scheduling 

  • Assists with creating and maintaining the project’s 3 week look ahead schedule with the Site Superintendent. 
  • Capable of creating and maintaining breakout schedules for specific project scopes and can identify critical path, float and long lead items. 
  • Assists with maintaining the master construction schedule with the Project Manager and Site Superintendents. 


Invoicing/Progress Claims 

  • Validates invoices with approved contracts & purchase orders and reviews for discrepancies.
  • Codes monthly invoices to appropriate sites and submits to the Project Manager for approval.
  • Issues purchase orders to suppliers and tracks them in the purchase order log.  
  • Updates the software system with contract changes.
  • Compiles monthly trade progress claims for the Project Managers review and provides support to where required to process accurate billing.


External Contractor Relations 

  • On behalf of the Project Manager, schedules appointments with project Consultants, trades and suppliers. Arranges time and location of meetings.
  • Provides support to the Project Manager by being the point of contact with Consultants, subtrades and suppliers after working arrangements with them have been established.
  • Works closely with Trade Contractors and Vendors to ensure the project is built per the Contract Documents (Drawings, Specs, Schedule).
  • Works closely with the Consultant team to ensure the project is compliant per the Contract Documents and is able to address any issues that arise with minimal supervision. 


Qualifications

  • 1-5 years of construction coordination experience 
  • Engineering or Construction Management degree or similar education experience in the Construction industry
  • Proficient with Microsoft suite (Word, Excel, PowerPoint)
  • Experience with Microsoft Project
  • Previous experience with Procore Construction Software is an asset 
  • Strong verbal and written communication skills
  • Strong planning, organizational, and time management skills with the ability to manage multiple priorities and meet deadlines
  • Demonstrated problem-solving and negotiation skills with a practical, solutions-focused approach
  • Performs effectively under pressure while maintaining accuracy and professionalism.
  • Adaptable and flexible, with the ability to respond effectively to changing priorities and work demands


Salary & Benefits

  • Salary range - $60,000 - $80,000 based on experience + discretionary bonus
  • Benefits upon completion of probationary period
  • 3 weeks vacation
