About the role:

We're looking for a highly organized Project Manager to lead the execution of Whalar's new business opportunities, ensuring every pitch, proposal, RFP, and RFI is delivered on time and to the highest standard.

Acting as the operational backbone of the New Business team, you'll coordinate cross-functional workstreams, manage competing priorities, and keep opportunities moving from intake through submission. You'll partner closely with teams across Strategy, Client Services, Creator Strategy, Creative, and Operations to bring winning proposals to life in a fast-paced, deadline-driven environment.

Here's what you'll do day-to-day:
  • Own the end-to-end project management of new business opportunities, including RFPs, RFIs, pitches, and proposals.
  • Build and manage project plans, timelines, priorities, and deliverables to ensure projects stay on track and deadlines are consistently met.
  • Serve as the central point of contact for each opportunity, driving alignment and communication across cross-functional teams.
  • Coordinate resources across New Business, Client Services, Strategy, Creator Strategy, Creative, and Operations to deliver best-in-class proposals.
  • Support creator sourcing and other proposal components to ensure every submission is strategically aligned and client-ready.
  • Lead the development and coordination of pitch decks and presentation materials, managing feedback through to final delivery.
  • Monitor project risks, resolve roadblocks, and proactively adjust priorities to keep work moving forward.
  • Partner with the Sr. Director of Operations to prioritize opportunities, manage team capacity, and continuously improve project workflows and processes.
Here's what we're looking for:
  • 4+ years of project management experience, ideally within creator marketing, advertising, media, creative, or agency environments.
  • Experience managing multiple concurrent projects involving cross-functional stakeholders and tight deadlines.
  • Exceptional organizational skills with outstanding attention to detail and follow-through.
  • Strong communication and stakeholder management skills with the confidence to keep teams aligned and accountable.
  • Proficiency with Google Slides and experience developing polished client presentations and pitch materials.
  • A proactive, solutions-oriented mindset with the ability to navigate ambiguity, solve problems quickly, and adapt in a fast-paced environment.
  • Knowledge of the creator economy, social media, and influencer marketing is highly desirable.

The salary range for this role is $85,000 - $95,000 and serves as a general guideline for the potential compensation. The final salary offer will be determined based on a comprehensive evaluation of factors such as the candidate's experience, expertise, alignment with the position's requirements, location, and, ultimately, budget approvals.
