POSITION SUMMARY

 The Associate Project Manager supports the delivery of the company's capital projects by assisting Project Managers on large, complex initiatives while independently managing smaller capital projects from planning through closeout. This role focuses on coordination, documentation, financial tracking, and communication across the project lifecycle, helping ensure projects are delivered safely, on schedule, and within budget. The Project Manager Specialist works closely with Project Managers, Operations, Facilities, vendors, and community teams to keep capital initiatives moving. 


Key Responsibilities

The primary responsibility is to support Project Managers on their large projects and to independently manage smaller capital projects, with an emphasis on coordination, tracking, and communication rather than full leadership of major initiatives.


Supporting Project Managers on Large Projects

  • Assist assigned Project Managers with scheduling, documentation, tracking, and coordination across all project phases.
  • Coordinate with architects, engineers, consultants, contractors, and internal departments as directed by the Project Manager.
  • Help track budgets, schedules, milestones, and open items, flagging risks and issues to the Project Manager.
  • Prepare meeting materials, capture notes and action items, and follow up on outstanding tasks.
  • Conduct site visits to observe progress, quality, and safety, and report findings back to the Project Manager.
  • Support change order tracking, submittals, RFIs, and document control.


Independently Managing Smaller Capital Projects

  • Manage smaller, lower-complexity capital projects from approval through completion and closeout.
  • Develop and maintain schedules, budgets, and documentation for assigned smaller projects.
  • Coordinate vendors and contractors and serve as the day-to-day point of contact for these projects.
  • Ensure smaller projects comply with company standards, life safety requirements, building codes, and owner requirements.
  • Identify and resolve routine issues, escalating larger risks to senior Project Managers or leadership.


Financial & Administrative Support

  • Assist with project budgets, forecasts, and cost tracking across assigned projects.
  • Process and review invoices, pay applications, and commitments for accuracy.
  • Help perform basic variance tracking (budget vs. forecast vs. actual) and flag discrepancies.
  • Maintain accurate, organized project documentation and records.


Communication & Reporting

  • Provide regular updates to Project Managers and, for smaller projects, to Operations and Facilities teams.
  • Help prepare weekly and monthly project status reports, including:

o Budget vs. Actual

o Schedule Progress

o Project Milestones

o Risk and Issue Logs

o Change Order Tracking

  • Coordinate project schedules to minimize operational disruption to residents and community teams.
  • Maintain risk, issue, and change order logs.

Project Closeout

  • Manage closeout for smaller projects, ensuring punch list completion and receipt of warranties, operating manuals, and as-built drawings.
  • Assist Project Managers with closeout tasks and financial reconciliation on larger projects.
  • Support post-project reviews to capture lessons learned and continuous improvement opportunities.

Candidate QUALIFICATIONS and EXPERIENCE

  • GED or high school diploma required; Associate's degree in Construction Management preferred.
  • Minimum of 1-3 years of experience in project coordination, project management, or a related construction or facilities role; senior living industry experience a plus.
  • Location: Must reside within 30 miles of Scottsdale, AZ, or be willing to relocate.
  • Experience in facility management, design, or renovation coordination is advantageous.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
  • Familiarity with contract and budget basics, with a willingness to develop these skills further.
  • Solid interpersonal, communication, and coordination skills, with a collaborative, team-oriented approach.
