Summary of Responsibilities 


As our Office Manager / Director of First Impressions, you’ll be the heartbeat of our office—creating a welcoming and polished experience for clients while helping keep daily operations organized and efficient behind the scenes. 

This role blends client interaction, office coordination, administrative support, financial organization, and team collaboration. From answering incoming calls and organizing project documentation to supporting leadership and helping coordinate company events, no two days will look exactly the same. 

Success in this role comes from being proactive, highly organized, detail-oriented, and someone who naturally jumps in to help wherever needed. We’re looking for someone who enjoys being part of a collaborative team and takes pride in helping create a positive experience for both clients and coworkers alike. 


Essential Functions 

  • Answer and direct incoming phone calls while providing exceptional customer service  
  • Serve as the first point of contact for new clients and visitors  
  • Help qualify incoming leads and schedule consultations  
  • Maintain a clean, organized, and professional office environment  
  • Support leadership and team members with administrative tasks  
  • Input and maintain accurate client and project information in Buildertrend and Sage systems  
  • Assist with accounts payable/receivable processes and financial organization  
  • Organize and maintain digital and physical files  
  • Coordinate office operations, schedules, and general organization  
  • Support company events, lunches, meetings, and team gatherings  
  • Run occasional errands to job sites, the bank, or post office  
  • Maintain strong communication and follow-through across the team  
  • Help create a positive, collaborative, and professional office atmosphere 

Education, Experience, and Skills Required 

  • 3+ years of office management, administrative, or customer service experience  
  • Strong communication and interpersonal skills  
  • Highly organized with strong attention to detail  
  • Comfortable balancing multiple responsibilities throughout the day  
  • Experience with Microsoft 365  
  • Construction industry familiarity is preferred  
  • Experience with Buildertrend and Sage 100 Contractor is a plus  
  • Business-related education is a plus 


Compensation  

  • $22–$28/hour depending on experience
