What does a project management coordinator do?

A Project Management Coordinator supports project managers and teams by organizing project activities, tracking progress, managing schedules, and handling documentation. They help ensure that projects are completed on time, within budget, and according to quality standards. Their responsibilities often include scheduling meetings, communicating with stakeholders, preparing reports, and assisting with resource allocation. By providing organizational and administrative support, they help streamline project workflows and contribute to the overall success of the project.

What are the key skills and qualifications needed to thrive as a project management coordinator?

To thrive as a Project Management Coordinator, you need strong organizational skills, attention to detail, and a foundational understanding of project management principles, often supported by a bachelor’s degree in business or a related field. Familiarity with project management software like Microsoft Project, Asana, or Trello, and certifications such as CAPM or PMP are valuable. Excellent communication, problem-solving, and multitasking abilities help you coordinate effectively with diverse teams and stakeholders. These skills and qualities are vital for ensuring projects stay on track, meet deadlines, and achieve desired outcomes.

What are some common challenges faced by project management coordinators, and how can they effectively address them?

Project Management Coordinators often face challenges such as managing competing priorities, keeping project documentation up to date, and facilitating clear communication among diverse team members. To address these challenges, it's essential to develop strong organizational skills, use project management software effectively, and maintain regular check-ins with stakeholders. Proactively identifying potential bottlenecks and fostering an open, supportive team environment also helps ensure projects stay on track and objectives are met.

Job description

Who We Are:

STC is a joint venture between Aecon and FCC Canada Ltd. that was selected by Metrolinx to deliver the Scarborough Subway Extension - Stations, Rail and Systems (SSE-SRS) package. The Scarborough Subway Extension will bring the TTC's Line 2 subway service nearly eight kilometers farther into Scarborough. It will extend from Kennedy Station to Sheppard Avenue and McCowan Road, providing quick and seamless transit for those heading into and out of the downtown core and those travelling within Scarborough. The extension will replace Line 3 (the Scarborough RT), helping to reduce travel times and improve access to jobs, schools, and other key destinations throughout the city.

As part of this project, we are currently looking for a Requirements Management Coordinator to join our team. The Requirements Management Coordinator supports the Requirements Manager in executing daytoday requirements management activities across the project. The role focuses on maintaining the requirements database, ensuring accurate traceability, coordinating updates among engineering teams, and supporting change management and review processes.

What You Will Do:

  • Support the collection and clarification of requirements from stakeholders and engineering teams.
  • Assist in drafting and refining requirement statements into clear, structured, testable items.

Requirements Database & Traceability

  • Maintain and update requirement fields and attributes in DOORS (or similar tools).
  • Support the preparation and upkeep of the Requirements Traceability Matrix (RTM).
  • Track requirement status and changes throughout the project lifecycle.

Change & Configuration Support

  • Document change requests, update requirement records, and help monitor impacts under guidance from the Requirements Manager.
  • Ensure consistency and correctness of updated requirement entries.

Reviews, Reporting & Coordination

  • Prepare documentation, extracts, and reports needed for requirement review meetings.
  • Participate in review sessions, record minutes, track actions, and follow up with responsible parties.
  • Coordinate with engineering disciplines to confirm requirement updates or clarifications.

Quality & Compliance Support

  • Perform basic checks for completeness, duplicate entries, formatting issues and traceability gaps
  • Flag inconsistencies or potential issues to the Requirements Manager for resolution.

Experience You Will Bring:

  • Bachelor's degree in Engineering or equivalent technical training.
  • 3-5 years of relevant experience in engineering, systems engineering, project coordination, or requirements management roles.
  • Basic to intermediate experience in using requirements management tools, such as IBM DOORS (experience with other RM tools is also acceptable).
  • Understanding of requirements structuring, allocation, and traceability within complex technical projects. (Experience in rail or transportation is an asset, but not mandatory.)
  • Familiarity with large infrastructure or multidisciplinary engineering environments.
  • Interest in developing expertise in requirements lifecycle management and in tools like DOORS. (DXL scripting knowledge is a plus, not a requirement.)
  • Ability to communicate clearly and collaborate effectively with internal teams, suppliers, and stakeholders in a multicultural project environment.
  • Strong analytical and organizational skills, with attention to detail.

Why Join Us?

Compensation: $85,000 - $90,000 annually. The listed salary range reflects potential base pay and considers factors such as experience, education, and training. Each candidate is evaluated individually and offers toward the higher end may be extended to those with exceptional qualifications.

  • The opportunity to work on one of the most exciting rail projects in Toronto.
  • A wide array of learning and development opportunities.
  • A work environment focused on health and safety.
