What are the key skills and qualifications needed to thrive as a Project Management Contractor, and why are they important?

To thrive as a Project Management Contractor, you need strong project planning, organizational, and leadership skills, typically supported by a bachelor's degree and relevant project management experience. Familiarity with tools like Microsoft Project, Asana, or Jira, and certifications such as PMP or PRINCE2 are highly valued. Exceptional communication, negotiation, and problem-solving abilities help you build client trust and guide teams through complex projects. These skills ensure efficient project delivery, client satisfaction, and effective team coordination in dynamic contract environments.

What are Project Management Contractors?

Project Management Contractors are professionals hired on a temporary basis to oversee and manage specific projects within an organization. They are responsible for planning, executing, and closing projects, ensuring that goals are met on time and within budget. Unlike full-time employees, they typically work on contract for the duration of a project and may manage multiple projects for different clients. Their expertise helps organizations complete projects efficiently without the long-term commitment of a permanent hire.

What is the difference between Project Management Contractor vs Project Coordinator?

AspectProject Management ContractorProject Coordinator
CredentialsPM certifications (PMP, CAPM), relevant experienceTypically a bachelor's degree, some certifications (CAPM)
Work EnvironmentContract basis, often freelance or temporary projectsFull-time or part-time in organizations, supporting project teams
Employer & Industry UsageUsed across industries for specific projectsCommonly employed within organizations to assist project managers

While both roles support project execution, a Project Management Contractor is hired temporarily to lead or manage projects independently, often with specialized certifications. A Project Coordinator typically assists project managers by handling administrative tasks and coordinating activities within ongoing projects. The contractor role is more autonomous and results-driven, whereas the coordinator provides essential support within a team environment.

What are some common challenges faced by Project Management Contractors and how can they be effectively addressed?

Project Management Contractors often face the challenge of quickly adapting to new organizational cultures and project teams, as they typically work on a contract basis for diverse clients. Building trust and clear communication with stakeholders in a short time frame is crucial. To address these challenges, it's important to establish clear expectations early, maintain transparent documentation, and leverage strong interpersonal skills to integrate smoothly with existing teams. Additionally, staying organized and adaptable helps contractors manage shifting project scopes and timelines effectively.

With strong organizational instincts and a natural ability to communicate across both team and executive levels, you'll help the team intake, prioritize, and deliver week over week.
In partnership with the team Ops Lead, you will sit at intersection of strategy and execution, driving key brand project workstreams to ensure they deliver on time, on scope and on budget.

  • Coordinate cross-functional dependencies across teams; flag blockers or risks proactively and help facilitate resolution

Executive Communications & Meeting Support

  • Organize talking points, agendas for weekly SVP-level meetings

  • Take notes, capture decisions, and track action items from leadership syncs

  • Draft and send executive-facing recaps and follow-up communications

  • Help drive decision-making by ensuring the right context and information is surfaced ahead of meetings

Quarterly Planning

  • Lead the team's quarterly planning process, including timeline management, template creation, and facilitation of planning sessions

  • Synthesize team inputs into a consolidated view of priorities, capacity, and commitments

  • Partner with stakeholders to ensure plans are realistic and aligned with broader organizational goals

Intake & Prioritization Management

  • Support monitoring and managing the team's intake channel, triaging incoming requests

  • Work with the team SMEs to develop a consistent process for evaluating, prioritizing, and routing requests

  • Maintain a visible backlog of work to support ongoing planning conversations

What Experience You Have

  • 5-7+ years of project or program management experience, ideally within a marketing, creative, or brand organization

  • Experience with Brand Insights, Brand Strategy, Creative Strategy, and Brand Management workstreams

  • Strong communication and organizational skills, with the ability to manage multiple complex workstreams simultaneously

  • Experience supporting executive-level stakeholders, including preparing materials and facilitating decision-making

  • Comfortable owning a quarterly planning process end-to-end - from timeline setting to facilitation to synthesis

  • Experience managing intake and prioritization processes across a team or function

  • High level of comfort with Slack, Google Suite (Slides, Sheets, Docs), and project tracking tools

  • Ability to work independently, take initiative, and maintain momentum without close oversight

  • Agency or in-house creative/marketing team experience preferred

Why You Are Excited About This Role

  • You thrive in roles where you're the one keeping everything organized and moving - and you take pride in it

  • You are energized by cross-functional complexity and find clarity where others see challenges

  • You enjoy working with executives and know how to communicate with precision and context

  • You want to make a real impact in a fast-paced, high-visibility team during a critical transition period

  • You are comfortable with ambiguity and adapt quickly when priorities shift

Why We Are Excited About You

  • You can help the team operate at pace with minimal disruption

  • You know how to give clear leadership visibility into what's in flight and what decisions are needed

  • You communicate clearly, concisely, and with purpose - whether it's a Slack update or an SVP-facing recap
