Job Summary:
The Project Administrator supports construction project teams by managing documentation, coordinating project activities, and maintaining communication between internal departments, subcontractors, vendors, and clients. This role ensures the administrative side of each project runs smoothly from start to finish.
Key Responsibilities:
Project Administration:
  • Communicates with the following regarding various aspects of projects, Project Managers, Superintendents, subcontractors, clients and bonding agent.
  • Establish and maintain up-to-date project files to include issuing, tracking and recording project documentation, i.e. subcontracts, sub change orders, prime change orders, correspondence.
  • Ensure compliance with company policies and project requirements.
  • Communicate with subcontractors and suppliers to coordinate required documents and deliverables.
  • Assist with close-out documentation.

Project Accounting:
  • Assist in the timely preparation and execution of accounts receivable to the client including supporting documentation, i.e. certified payroll, HUB report as needed.
  • Responsible for accurate tracking of Accounts Receivable in 'Monday' and payment status updates status with the client.
  • Responsible for the timely recording in Sage Intacct of subcontract accounts payable and payment to the subs.
  • Maintain accurate budgets in Sage Intacct.
  • Assist at month end with WIP (work in Progress) analysis.
  • Other duties as may be required.

Qualifications:
  • Prior experience in construction or project administration preferred.
  • Strong organizational and time-management skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Experience in Sage Intacct, City of San Antonio Primelink and LCP Tracker is a plus
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and ability to manage multiple tasks in a fast-paced environment.
  • Able to work M-F 8:00 - 5:00 in an office environment.

Note- Hourly position range $21.64-$26.44 On-site position. No flex hours.
