Job description

Under the direction of the Statewide Director and in close collaboration with Program and Outreach Managers, the Program & Outreach Support Coordinator provides coordination, communication, and administrative support for WRTP | BIG STEP programming and outreach activities. This role supports participant workflow, intake, data management, and operational coordination, and plays a critical role in tracking participants from initial inquiry through enrollment and program completion.

Essential Duties and Responsibilities

  • Greet and direct participants, partners, clients, and guests in a professional and consistent manner.
  • Report to the Statewide Director and collaborate with regional Program and Outreach Managers to ensure highquality customer service for all participants.
  • Communicate program offerings, enrollment steps, and eligibility requirements to prospective and current participants.
  • Perform accurate data entry and maintenance in ETO, Excel, and other agency tracking systems.
  • Schedule orientations, classes, assessments, and meetings as assigned.
  • Conduct initial participant intake and coordinate assessment scheduling.
  • Follow up on incomplete applications, documentation needs, and next steps with participants.
  • Provide event logistics support, including registration, attendance tracking, and basic reporting.
  • Support reporting needs, including data cleanup, tracking, and generation of basic reports.
  • Maintain partner and contact lists and support outreach coordination efforts.
  • Assist with special projects and operational needs as assigned. 
  • Perform clerical and frontoffice responsibilities, including directing a wide variety of inquiries accurately and professionally.
  • Maintain strict confidentiality of participant files, agency records, business lists, and contractual information.
  • Represent WRTP | BIG STEP, members, and partners professionally at all times.

Requirements

  • Ability to work up to 40 hours per week; schedule may include some evenings and Saturdays based on program needs.
  • General knowledge of workforce development and/or experience supporting youth or adult training programs preferred.
  • Knowledge of the construction industry and Wisconsin Apprenticeship system preferred.
  • Some college coursework preferred but not required.
  • Strong computer skills, including proficiency with Microsoft Office (Teams, Word, Excel) and the ability to learn new databases and systems.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and customer service skills.
  • Demonstrated ability to work collaboratively within a diverse, multidisciplinary, and dynamic team environment.
  • Ability to prioritize tasks, manage multiple responsibilities, and identify opportunities for improved efficiency.
  • Familiarity with federal and state workforce programs (e.g., WIOA, FSET, DOL/DWD programs) preferred.
  • Ability to successfully pass a background check.
  • Ability to travel within Wisconsin as needed.
  • The Neenah office is the designated home office for this position, and the successful candidate is expected to regularly report to that location.
  • Physical requirements include regular computer work, occasional standing and walking, lifting of office materials under 20 pounds, mobility within office and training environments, and reliable transportation.
