Are you looking to make a meaningful impact on infrastructure projects that shape communities? Digital Engineering (DE) is seeking a Project Administrator to support our Water Resources, Transportation, Program Management, and Construction Engineering and Inspection teams.

In this role, you’ll play a key part in keeping projects organized, on track, and running efficiently, working alongside project managers and cross-functional teams throughout the project lifecycle. We’re looking for someone who is detail-oriented, highly organized, and proactive, with a collaborative mindset and a strong sense of ownership.

This is an on-site position and can be performed from any of our DE offices in Kenner, Mandeville, Baton Rouge, or Waveland, MS. Regular travel to the Kenner office one day per week is required.

THE ROLE

The Project Administrator demonstrates proficiency in Microsoft Office Suite and ability to learn and implement systems such as Deltek Vantagepoint. This role requires drive and initiative, along with strong organizational and time management skills, attention to detail, and the ability to anticipate and adapt to various project needs. The individual exercises discretion and independent judgment in prioritizing work and managing competing deadlines, while operating with minimal supervision in executing assigned responsibilities. Strong written and verbal communication skills, as well as a customer-service-oriented and team-focused mindset, are important for success in this role.

WHAT YOU’LL DO

  • Independently coordinate and administer new and ongoing projects within Deltek Vantagepoint, ensuring accuracy, consistency, and alignment with organizational standards
    • Lead project set up activities, ensuring appropriate structure, data integrity, and compliance with contractual requirements
    • Support contract management (including amendments and change orders), project tracking, and capturing updates throughout the project lifecycle
    • Oversee project closeout processes
  • Analyze, prepare, and distribute weekly and ad hoc project reports, identifying inconsistencies and proactively resolving discrepancies
  • Maintain project files and folder organization on the server
  • Monitor project plans and budgets, applying judgment to track performance, identify variances, and escalate issues as appropriate
  • Contribute to and evaluate scope and fee proposals, agreements, and amendments
  • Oversee billing processes, including invoice preparation, review, and transmittal, ensuring accuracy, completeness, and adherence to contractual terms
  • Review and validate invoice backup documentation to ensure compliance with project and client requirements
  • Draft, review, and manage project correspondence, ensuring clear, accurate, and professional communication aligned with project objectives
  • Coordinate meetings including scheduling, agenda development, and documentation of key decisions and action items
  • Support and coordinate funding administration activities, applying knowledge of requirements to ensure compliance and proper documentation
  • Review field timesheet entries for accuracy and completeness in accordance with project standards
  • Track and coordinate the timely completion of administrative project deliverables, proactively addressing potential delays or issues
  • Participate in internal and client meetings (when needed), providing input and status updates
  • Apply company policies and procedures to non-routine situations
  • Perform other general administrative support duties as assigned

WHAT YOU BRING

Minimum Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred
  • 2+ years of administrative or project coordination experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Teams) and Adobe or Bluebeam Revu
  • Ability to quickly learn and adapt to new software systems and tools

Preferred Qualifications

  • Understanding of project lifecycle and contract management processes
  • Experience in the engineering industry is preferred
  • Experience with Deltek Vantagepoint or similar ERP systems
