Job description

JOB TITLE: Development Assistant (Part-Time, 24-30 hours/week)

REPORTS TO: Director of Development

REQUIREMENTS:

  • A Bachelor's or Associate's degree and at least (2) two years of administrative assistant, office support or nonprofit experience preferred.
  • Exceptional attention to detail with a demonstrated ability to produce accurate, error-free work.
  • Excellent written communication, proofreading and editing skills, including grammar, spelling, formatting, and consistency.
  • Highly organized with strong time-management skills and the ability to manage multiple projects and deadlines simultaneously.
  • Technology-savvy and able to quickly learn new software systems and processes.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable working with databases, CRMs, and cloud-based applications.
  • Strong administrative support skills, including scheduling, data entry, recordkeeping, document preparation, and meeting coordination.
  • Willingness to assist with a wide variety of tasks and support the overall needs of the Development team.
  • Quick learner with a positive attitude and a desire to grow professionally.


JOB DESCRIPTION:

The Development Assistant provides administrative and operational support to the Development team to help advance Bloom's fundraising and donor engagement efforts. This role is responsible for maintaining accurate donor records, supporting fundraising campaigns and events, assisting with donor communications, and ensuring high-quality stewardship of donors and partners. This position is ideal for a highly organized, detail-oriented individual who is interested in nonprofit development and philanthropy.


PRIMARY RESPONSIBILITIES

Donor & Database Management

  • Maintain accurate donor records in the organization's donor database, Bloomerang.
  • Process and acknowledge donations within 48 hours of receipt.
  • Generate donor reports, mailing lists and analytics as needed.
  • Enter historical data into the database.
  • Ensure data integrity, confidentiality and compliance of privacy.


Administrative Support

  • Provide day-to-day administrative support to the Development team.
  • Proofread donor communications, reports, presentations, and other materials to ensure accuracy, professionalism, and consistency with Bloom's brand standards.
  • Manage calendars, meeting materials, internal documentation and meeting notes.
  • Draft professional emails and correspondence, donor materials, and community engagement materials.
  • Maintain organized digital and physical filing systems.

Fundraising & Event Support

  • Assist with planning and execution of all fundraising events, both internal and external.
  • Support logistics such as event registration, attendance tracking and follow-up communication.
  • Coordinate with vendors, volunteers and internal staff as needed.
  • Help prepare event materials, donor recognition items and donor appreciation items.
  • Assist with posting online auction items, preparing event surveys, assembling auction baskets, and other event-related activities.
  • Assist with other Bloom fundraising events and donor-cultivation events as directed by the Development Director.
  • Represent Bloom as needed at community outreach events, volunteer activities, and donor engagement opportunities, serving as a knowledgeable and enthusiastic ambassador for the organization's mission and programs.

Donor Relations & Stewardship

  • Support donor engagement activities and stewardship initiatives.
  • Help track donor interactions and follow-up actions.
  • Provide excellent customer service to donors, volunteers, community partners, and other stakeholders.
  • Maintain records of monthly supporters and ensure Monthly Donor Welcome Packets and other follow-up communications are completed according to established timelines.

Front Desk Management

  • Answer and direct phone calls, taking and distributing messages as necessary.
  • Greet and assist visitors and staff to the Development condo in a friendly and professional manner.
  • Assist in greeting and welcoming corporate volunteers to the Bloom Closet.

GENERAL EXPECTATIONS:This is a part-time, non-exempt hourly position (24-30 hours/week) that may require occasional evening and weekend hours to support fundraising events, volunteer activities, and other organizational needs.
