ABOUT THE ROLE
Cyber Advisors delivers a wide range of IT and Cyber Security project services for clients, and successful delivery requires more than technical execution. It requires strong coordination across schedules, documentation, communication, task ownership, and follow-through to keep projects organized and moving forward.
The Project Coordinator works alongside the technical teams, vendors, and client stakeholders to support the planning and execution of project work. This role helps ensure every moving part is tracked, every task has an owner, project information stays current, and risks or open items are surfaced before they impact delivery. WHAT YOU'LL DO
  • Assist with planning and coordinating IT and cybersecurity projects, including schedules, project plans, milestones, resources, forecasts, budgets, and status updates.
  • Track deliverables, deadlines, dependencies, risks, issues, and action items across multiple client engagements, escalating concerns before they impact project timelines.
  • Maintain accurate project documentation, communication plans, work plans, notes, task assignments, and project status updates in ConnectWise and other project management tools.
  • Prepare meeting notes, project reports, stakeholder communications, status updates, and leadership summaries that are clear, timely, and professionally written.
  • Coordinate client-facing project activities, including kickoff meetings, weekly check-ins, milestone reviews, installation timing, requirements gathering, and setting expectations.
  • Manage project communications through shared inboxes, customer calls, service requests, and written correspondence, ensuring responses are timely, documented, and aligned with project needs.
  • Collaborate with internal teams, technical resources, vendors, consultants, customers, and stakeholders to clarify deliverables, support cross-site coordination, and keep project work moving forward.
  • Monitor document workflows to ensure reviews, approvals, quality checks, compliance requirements, and stakeholder responses are completed accurately and on time.
  • Review project scope and statements of work to confirm requirements remain aligned with the original scope and identify when change orders may be needed.
  • Coordinate change orders, project handoffs, closeout activities, engineer acknowledgments, system updates, and billing notifications with the appropriate teams.
  • Support process improvement initiatives, workflow optimization.
  • Provide general administrative and coordination support that helps project managers, technical teams, and stakeholders stay organized and aligned.

WHAT YOU BRING
  • 1-3 years of experience in project coordination, project administration, or project support within an IT services, cybersecurity, or technology environment.
  • Proven ability to manage high-volume project coordination work with accuracy, consistency, and strong follow-through, ensuring tasks, communications, and deadlines stay organized without issues falling through the cracks.
  • Ability to coordinate schedules, milestones, resources, deliverables, risks, dependencies, and deadlines across multiple concurrent projects.
  • Strong organizational skills with a high level of accuracy when managing documentation, task tracking, project notes, status updates, and follow-through.
  • Clear, professional communication skills with the ability to write client emails, meeting recaps, project updates, and stakeholder summaries with minimal editing.
  • Experience working with cross-functional teams, technical resources, vendors, customers, and stakeholders to keep project work aligned and moving forward.
  • Comfortable managing shifting priorities, tracking open items, and escalating risks or issues before they impact project timelines.
  • Proficiency with Microsoft 365 tools, including Outlook, Teams, SharePoint, Excel, and PowerPoint.
  • Bonus - Familiarity with ConnectWise Manage or a comparable PSA, ticketing, or project management platform.

WORKING CONDITION
  • This is a hybrid-role as there is work in the office that is required for the position. HQ is in Maple Grove, MN.
