Job description

Job Summary

The Service Coordinator Intern will assist the Service Department with daily coordination and administrative tasks, including service scheduling, customer communication, order entry, documentation, and follow-up. This internship is designed to provide hands-on exposure to service operations, customer support, business systems, and scheduling processes in an industrial and technical environment. The intern will work under the guidance of the Service Coordinator and Service Managers while learning how service requests are received, organized, scheduled, and completed.

Essential Duties and Responsibilities

  • Assist with reviewing incoming service requests and collecting basic information needed for quotes or follow-up.
  • Help prepare, update, and send service quotes and proposals under supervision.
  • Enter and update service orders in company systems with accuracy and attention to detail.
  • Coordinate with Service Managers on scheduling service technicians and confirming customer details.
  • Update calendars, schedules, and service logs to help keep service jobs organized.
  • Maintain records of customer communications, service orders, and completed work in FreeForm.
  • Review weekly service reports and assist with follow-up on overdue reports or open service items.
  • Monitor and respond to expediting requests, providing accurate updates on service order status and expected completion timelines.
  • Help organize service documents, work orders, and project files.
  • Observe and contribute to process improvement efforts by identifying simple ways to improve organization, communication, or follow-up.
  • Complete other assigned projects or tasks while developing professional workplace skills.
