MUST HAVE:
  • Commercial construction experience is required.
  • Extensive commercial construction project coordination experience is required.
  • Experience managing multiple commercial construction projects from project award through closeout.
  • Strong knowledge of construction contracts, change orders, billing, compliance documentation, subcontract administration, and project financials.
  • Experience with construction ERP software (Acumatica strongly preferred).

Lead Construction Operations for a Growing Commercial Contractor
Ameritech Facility Services is seeking an experienced Lead Project Coordinator to oversee our Project Coordination team while serving as the operational backbone of our commercial construction projects.
This is a leadership position for someone who understands the commercial construction lifecycle inside and out. You'll mentor Project Coordinators, partner closely with Project Managers and Accounting, oversee project documentation and compliance, manage project financial workflows, and ensure projects move efficiently from award through closeout.

Key ResponsibilitiesLead the Project Coordination Team
  • Interview, hire, onboard, and train Project Coordinators.
  • Mentor and coach Project Coordinators on company processes and construction best practices.
  • Conduct weekly and biweekly project review meetings with Project Managers and Coordinators.
  • Communicate new procedures and operational improvements to the project team.
  • Identify workflow issues and recommend process improvements to leadership.
  • Foster communication between Project Management, Accounting, Estimating, and Operations.
  • Approve weekly Project Coordinator payroll.
  • Track superintendent labor allocations and ensure labor is charged correctly.
  • Coordinate employee PTO schedules on the company calendar.

Project Administration
  • Ensure projects never begin without fully executed contracts.
  • Assist with AIA contract administration.
  • Support permitting efforts and coordinate with licensing departments.
  • Assist with warranty projects and project closeout.
  • Create, update, and distribute operational reports for leadership.
  • Maintain organized SharePoint project documentation.
  • Conduct monthly expense accrual meetings with Project Managers.
  • Support Level 10 meetings and additional operational initiatives.

Acumatica Administration & Project Controls
  • Serve as the team's Acumatica subject matter expert.
  • Train Project Coordinators and Project Managers on:
  • Project setup
  • Customer and location creation
  • Budget uploads
  • Change Orders
  • Commitments
  • Billing
  • Budget locking
  • General system navigation
  • Review and approve project costs following Project Manager approval.
  • Verify invoices contain required documentation before payment processing.
  • Monitor project budgets, costs, revenue, and project status.
  • Upload and maintain project budgets using estimate and bid files.
  • Identify project issues and either resolve them or delegate corrective action.
  • Review daily Acumatica reports to ensure projects remain accurate and current.
  • Support month-end and quarter-end financial activities.

Financial & Compliance Management
  • Review subcontractor invoices for accuracy and completeness.
  • Verify subcontractor Certificates of Insurance and W-9s remain current.
  • Manage PayApps submissions and coordinate documentation with Accounts Payable.
  • Partner with Accounts Receivable regarding outstanding customer payments.
  • Ensure required documentation is maintained, including:

  • Excellent communication and leadership abilities.
  • High attention to detail with exceptional problem-solving skills.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.
