SERVPRO of Bear, New Castle, and Upper Darby is seeking a highly organized and detail-oriented Project Coordinator to join our growing office team.
Every successful restoration project requires accurate documentation, clear communication, and exceptional organization. As a Project Coordinator, you'll play a vital role in supporting our project managers, production teams, customers, and insurance partners while helping ensure every project progresses smoothly from the initial call through final completion.

Position SummaryThe Project Coordinator provides administrative support throughout the life of every restoration project by maintaining complete job documentation, coordinating communication between departments, assisting customers, supporting project managers, and ensuring company standards are consistently followed.
Your work helps ensure projects move efficiently, documentation remains accurate, and customers receive an exceptional experience.
Primary ResponsibilitiesResponsibilities include:
  • Open, organize, and maintain electronic and paper project files.
  • Verify required customer authorizations, contracts, and project documentation.
  • Coordinate communication between customers, project managers, technicians, insurance carriers, adjusters, vendors, and office staff.
  • Monitor project milestones and documentation requirements throughout each project.
  • Upload photos, estimates, reports, contracts, and supporting documents into company systems.
  • Maintain accurate job information within WorkCenter 2.0 and other operating systems.
  • Assist Project Managers with administrative coordination and project tracking.
  • Communicate with customers regarding project status, documentation needs, and scheduling updates.
  • Prepare project closeout documentation.
  • Support the Billing department by ensuring complete documentation prior to invoicing.
  • Assist with special projects and office responsibilities as business needs require.
  • Help maintain company documentation standards and quality control procedures.
QualificationsWe're looking for someone who has:
  • Two or more years of administrative, project coordination, office management, customer service, or related experience preferred.
  • Exceptional organizational and time-management skills.
  • Excellent written and verbal communication.
  • Strong Microsoft Office skills, including Outlook, Word, and Excel.
  • High attention to detail.
  • The ability to manage multiple projects simultaneously.
  • Strong follow-through and accountability.
  • A positive, customer-focused attitude.
Experience in restoration, construction, insurance, property management, or another project-based industry is helpful but not required.
