Job Title: Project Coordinator

Summary:

Product Coordinator to oversee the end-to-end execution of all new product introductions for our cosmetic contract manufacturing operations. Reporting directly to the New Project Launch Manager, this role is responsible for ensuring all cross-functional activities are aligned and executed flawlessly to deliver new products on time, within scope, and according to the customer’s expectations.

The ideal candidate will be an experienced project manager with a solid understanding of cosmetic manufacturing, and the ability to lead and influence across teams including Engineering, R&D, Formulation, Quality, Procurement, Production, Planning, Packaging Development, and Customer Service.

Responsibilities include, but are not limited to:

 

  • Assist with launch kick-off meetings for new projects/orders with Technical Services, Sales, R & D and other key personnel to determine the actions necessary to ensure a successful launch that satisfies customer requirements and expectations, including quality, delivery time, etc.
  • Prepare and publish timelines after the kick-off meeting.
  • After consulting with Sales, Production, Technical Services, Purchasing, regarding raw materials lead times and tooling, as applicable, promptly approve, sales order submitted by Sales/Customer Service, with respect to customer’s requested delivery date and other details (e.g., issuance of finished goods part numbers, when required) to facilitate timely input of sales order into ERP system.
  • Facilitate and lead regular project update meetings with cross-functional teams and stakeholders.
  • Create, manage, and maintain comprehensive project timelines, action logs, and risk mitigation plans.
  • Track key project milestones, proactively identifying and addressing potential delays, gaps, or issues.
  • Identify, evaluate, and present to sales rep the issues related to expediting orders/projects; work with other employees at all levels and within all departments to resolve daily challenges in keeping milestones
  • Ensure accurate and timely hand-off of documentation including BOMs, batch records, specifications, and component drawings.
  • Support Engineering and Packaging Development in organizing trials, equipment validations, and process improvements needed for launch readiness.
  • Facilitate and follow up on production & batch samples for customer approval, when required.
  • Coordinate pilot runs, line trials, and first production batches; oversee execution and track outcomes.
  • Collaborate with QA, Regulatory, and Compliance teams to ensure that all new product launches meet GMP, ISO, and customer-specific requirements.
  • Work with Planning and Procurement to ensure materials are on-hand and launch readiness is achieved without impacting production schedules.
  • Maintain centralized project tracking tools and dashboards.
  • Conduct post-launch reviews to identify process improvements and lessons learned.
  • Adhere to company policies and procedures.

  • Cloud & Collaboration Tools (OneDrive, Teams, SharePoint)
  • Experience with NetSuite is a plus.

Education & Experience

  • Minimum three years of experience in Project Management
  • Experience within the skincare industry is a plus
  • CAPM or PMP certification(s) is a plus
