WSP is currently initiating a search for a Document Control Specialist for our Virginia Beach office. This individual will report to our client's field office in Norfolk, VA (5 days per week).

Your Impact

Duties and Responsibilities:

  • Support the Document Control Manager and Document Control Team to maintain a document management system for contract documents and project documents.
  • Work with the Document Control Manager and Document Control Team to ensure policies and procedures are being followed.
  • Implement an efficient work-flow process, monitor daily activity, and implement modifications.
  • Work within the existing Electronic Document Management System (EDMS). 
  • Knowledge of document management process, procedures, and systems.       
  • Provide Document Management support to the entire project team.
  • Retrieve files, Upload / Download files, Manage Document Naming Convention, numbering, assigning, and distribution.           
  • Process Incoming/Outgoing documentation.
  • Ensure that electronic record files as required are maintained in good order to comply with contractual requirements.
  • Familiar with the Submittal and RFI Packages Procedure and Processes.
  • Work with project department leads to ensure timely processing of documentation.
  • May occasionally be required to manage day-to-day operations of the Document Control Team.

Who You Are

Minimum Qualifications:

  • Bachelor's Degree or equivalent experience
  • 1-3 years of project experience in a Document Control or similar role, working in the construction industry.
  • Must have experience with Microsoft Excel and ProjectWise
  • Excellent organization, coordination, and prioritizing skills.
  • Strong reading, comprehension, and written retention skills.
  • Exhibit good problem solving skills and superior attention to details.
  • Exceptional client relations and customer service skills.
  • Energetic, self-motivated, and quick to learn with a focus on continuous improvement.
  • Ability to work in a team or independently in a multi-disciplinary team environment.
  • Maintain confidentiality at all times.
  • Must be able to work within the Field Office located in Norfolk 5 days per week.

Expected Salary: $76,689 - $78,769/year
