Job description

Joseph J. Albanese, Inc. is seeking a Project Coordinator Supervisor to lead and oversee the daily operations of the project coordination team in support of construction projects from preconstruction through closeout. This role ensures project documentation, communication, scheduling support, subcontract administration, and compliance processes are handled efficiently and accurately. ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Supervise, mentor, and support Project Coordinators in their day-to-day responsibilities.
  • Assign workloads and monitor team performance to ensure the timely completion of project-related administrative tasks.
  • Help ensure project teams and executive staff receive timely and accurate administrative support throughout all phases of the job.
  • Ability to initiate contract documents from project start-up and execute deliverables within required timeframes and contract deadlines, bearing in mind contract-specific requirements.
  • Ensure accuracy and completeness of electronic contract documentation, changes, and periodic deliverables for the life of the project, across a high volume of projects and platforms.
  • Submit change order requests with required backup and follow-up and communicate statuses to the project team.
  • Initiate and coordinate final project closeout for timely retention billing and final project deliverables.
  • Maintain accurate project files and ensure document control procedures are followed consistently.
  • Review subcontractor and vendor compliance documentation, including insurance certificates, bonds, and licensing requirements.
  • Support project startup activities by ensuring OCIP/CCIP/UCIP and Certified Pa required documents and project information are complete and communicated effectively before execution.
  • Coordinate with Project Managers, Superintendents, Estimators, Accounting, and other departments to support project needs.
  • Serve as a point of contact for internal and external stakeholders regarding project administrative matters.
  • Monitor key project milestones, deliverables, and deadlines to ensure administrative support remains aligned with project schedules.
  • Assist with onboarding, performance management, and development of project coordination staff.

NOTE: These duties listed are meant to describe the general scope of the work. Other duties may be assigned based on business needs within the organization.
QUALIFICATIONS:
  • Bachelor's degree in construction management, Business Administration, or a related field preferred; equivalent experience may be considered.
  • Minimum of 7-10 years of project coordination, project administration, or related construction industry experience required.
  • Advanced knowledge of OCIP/CCIP/UCIP project documentation and reporting requirements throughout all stages of the job.
  • Expertise on Certified Payroll and DAS form submission project requirements.
  • Prior supervisory or lead experience preferred.
  • Strong knowledge of construction project documentation, terminology, and processes.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Experience with construction management or document control software; knowledge of Viewpoint and Procore is a plus.
  • Familiarity with the stages of construction from a project document perspective is required. This includes bidding through contract changes, COI requests, submittals, and RFIs, through the closeout process.
  • Strong office presence, culture advocate, and dedicated professional development promoter.
  • Excellent communication and interpersonal skills.
  • Outstanding organizational and leadership skills.
