Job description

Project Accounting Associate

Addison Group is supporting the search for a Project Accounting Associate to join a growing team in a fast-paced, high-volume AP environment. With ongoing expansion and process improvements, including AI-driven AP solutions and an upcoming ERP transition. This role will play a key part in managing invoice processing and electronic payment integrations.

This role is 100% onsite in Golden Valley, Minnesota requiring candidates to reside locally in MN or Western WI to be eligible for consideration.

Responsibilities include:

  • Collaborating with project managers to allocate costs to appropriate jobs, phases, and cost codes
  • Reviewing project budgets and tracking against actual expenditures
  • Assisting with job cost reporting and variance analysis
  • Full-cycle invoice processing, including 3-way match for purchase orders
  • Managing vendor onboarding and maintenance
  • Ensuring timely and accurate electronic payment processing (ACH, wire, virtual card)
  • Supporting monthly close activities including accruals and reconciliations
  • Coordinating with cross-functional teams to resolve invoice discrepancies and ensure compliance with contract terms
  • Preparing and maintaining project-related documentation for audits and reporting
  • Participating in system enhancements, including testing and data validation during ERP implementation
  • Supporting process improvement initiatives, including AI/AP automation rollouts
  • Handling special projects and ad hoc reporting requests as needed

Qualifications:

  • 2+ years of experience in accounts payable, project accounting, or a related finance role
  • Familiarity with cost coding, job cost tracking, and project-based billing
  • Strong understanding of invoice workflows and electronic payment processing (ACH, wire, virtual cards)
  • Experience working in a high-volume, fast-paced accounting environment
  • Proficiency with Excel (Pivot Tables, VLOOKUPs preferred)
  • ERP system experience required; exposure to system implementations or upgrades is a plus
  • Strong attention to detail and ability to manage competing deadlines
  • Effective communication and collaboration skills across departments
  • Ability to identify process gaps and recommend improvements
  • Associate's or Bachelor's degree in Accounting, Finance, or related field preferred
