HP Tuners LLC is a global leader in the automotive aftermarket, developing hardware and software for vehicle calibration. HP Tuners seeks Programming Coordinator to join its production team. 


The Programming Coordinator is responsible for managing the complete lifecycle of customer-owned products from receipt through programming, testing, and shipment. This role serves as the central point of coordination between customers, Customer Service, Engineering, Production, and Shipping to ensure products are accurately tracked, processed efficiently, and returned to customers on time. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where priorities may shift throughout the day. Strong communication skills and the ability to coordinate multiple tasks simultaneously are essential for success. 


This position reports to the Production Manager. This position is a Monday - Friday role in Buffalo Grove, IL.


KEY RESPONSIBILITIES

  • Receive, inspect, and accurately document incoming customer products.
  • Verify shipments against documentation and identify any discrepancies or damage upon receipt.
  • Create and maintain accurate records within internal tracking systems.
  • Monitor and track customer products throughout the entire programming, testing, and production process.
  • Coordinate workflow between Engineering, Production, Customer Service, and Shipping to ensure timely completion of customer orders.
  • Provide regular status updates to Customer Service and respond to inquiries regarding customer products.
  • Communicate directly with customers regarding receipt confirmations, status updates, and any issues requiring resolution.
  • Prioritize incoming work based on customer commitments, production schedules, and business needs.
  • Coordinate with Engineering regarding programming requirements, technical issues, and product readiness.
  • Ensure completed products are transferred to the Shipping department with accurate documentation and special shipping instructions.
  • Maintain organized inventory and storage of customer-owned products while in process.
  • Investigate and resolve tracking discrepancies or processing delays.
  • Maintain accurate records of product movement and processing milestones.
  • Assist in developing and improving receiving and tracking procedures to increase efficiency and accuracy.
  • Maintain a clean, organized, and safe work area.
  • Perform other duties as assigned.

Requirements

EDUCATION, KNOWLEDGE, AND COMPETENCIES

Qualifications and Experience

  • High school diploma or equivalent required.
  • Associate degree or relevant technical or business experience preferred.
  • Minimum of 2 years of experience in receiving, logistics, production coordination, customer service, or a related operations role preferred.
  • Assume responsibility for moderately complex issues and problems while continuously improving skill base and escalating complex technical issues when necessary.
  • Exceptional organizational and time management skills.
  • Strong ability to prioritize multiple tasks in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Detail-oriented with a high level of accuracy.
  • Strong customer service mindset with the ability to communicate professionally with internal and external customers.
  • Ability to coordinate effectively across multiple departments.
  • Comfortable using ERP systems, inventory management software, Microsoft Office, and email communication.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Ability to work independently while contributing effectively as part of a team.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Ability to occasionally lift and move packages weighing up to 40 pounds.

  • Ability to perform repetitive hand and arm movements associated with receiving and documentation activities.

Additional Physical Requirements

  • Working Conditions: This position is performed in both office and warehouse/manufacturing environments. This position regularly interacts with multiple departments and must effectively balance competing priorities while maintaining a high level of customer service and operational accuracy.

Compensation and Benefits


At HP Tuners LLC, we understand that compensation plays a key role when considering a new opportunity. We are dedicated to ensuring fair pay for all employees and continually work towards greater transparency in our compensation practices. The estimated base range for this position is $23.00 - 25.00 per hour, with actual pay determined including factors such as location, skills, experience, and other relevant considerations. This position also qualifies for a discretionary bonus and a complete benefits package, including medical, dental, vision, life, and disability coverage, paid time off (PTO), and a 401(k) program with employer matching.
