Job Title: Business Process Coordinator / Operations Coordinator

Report To: Drafting Manager

  • Our client, a well-established Edmonton-based engineering, design, and manufacturing company, is seeking a Business Process Coordinator to join their team. Building high-performance structural connections for construction projects across North America. They are a hands-on, collaborative organization where everyone works closely across departments. This opportunity is a strong fit for someone with a background in order processing, logistics, or project coordination who enjoys customer contact and keeping many moving pieces on track.


Position Overview:

  • The Business Process Coordinator owns coordination and customer communication for one product line. Half the day is full-cycle quoting and ordering for a commodity product, from quote request through order creation and handoff to production. The rest covers the engineered line, taking over customer communication after engineering sign-off and managing timelines, production schedules, and shipping. Success comes from organization, responsive communication, and spotting where a process could run better.


Responsibilities:


Business Operations & Process Coordination

  • Manage full-cycle quoting and ordering for a commodity product line, from quote request through order creation and handoff to production.
  • Prepare and send batches of quotes, often to multiple bidders on the same project, ensuring accuracy and quick turnaround. 
  • Coordinate with the production team on schedules, ship dates, and logistical issues.
  • Work with engineers and production to set priorities when multiple projects compete for the same production capacity.
  • Identify bottlenecks and recommend practical improvements to existing processes. 
  • Provide administrative support to the manager as required, including maintaining templates, files, and shared resources.


Customer Communication 

  • Serve as the point of contact for customer calls and emails on the product line, gathering required information and completing order documentation correctly.
  • Take over customer communication on engineered product projects once engineering sign-off is complete, covering timelines, production status, and shipping.
  • Follow up on outstanding customer information required before work can move into production.


AI & Technology

  • Maintain accurate customer and project information within the company's ERP system. 
  • Work confidently across the company's software systems, including the ERP, Microsoft Office 365, and Teams, to keep customer and order information accurate and accessible.
  • Use AI tools to speed up routine work and flag repetitive tasks that could be streamlined or automated.


Must Have Qualifications:

  • 3+ years of experience in order processing, logistics, project coordination, operations, or business administration.
  • Strong written and verbal communication skills, with genuine comfort dealing with customers by phone and email.
  • Comfortable with technology, including managing high email volume, navigating software, and working within an ERP system.


Like To Have Qualifications:

  • Experience within manufacturing, construction, or industrial supply.
  • Inside sales or customer coordination experience involving a physical or technical product catalogue.
  •  Experience coordinating materials to and from client sites and working alongside engineers.
  • Experience with CETEC or a comparable ERP system. Familiarity with project drawings or basic AutoCAD.
  • Experience using AI tools such as Claude, ChatGPT, or Microsoft Copilot to create efficiencies or improve a workflow.
