Job description

Summary
The incumbent will serve as Program Support Assistant (OA) to the Office of the Social Work Service at the Orlando VA Healthcare System. This position is located under the guidance of the Social Work Service, Geriatrics and Extended Care Program Supervisor or designee. The incumbent will report to offices at Lake Nona (main Orlando VA campus); other locations may be negotiated dependent on space availability.

Duties include but are not limited to:
  • Provide administrative support for supervisors and program coordinators for seven subsidiary programs.
  • Prepare, modify, and route care authorizations for approved Veteran services to contracted facilities.
  • Maintain professional written and verbal communication with VA staff and contracted facility personnel.
  • Complete approval letters and appointment reminder calls accurately and promptly in Veteran medical records.
  • Track, review, and submit invoices for processing according to payer authority, resolving discrepancies with providers.
  • Record and prepare meeting minutes and agendas for program oversight and committee meetings.
  • Collect and manage program data for budget tracking, contract compliance, and program monitoring.
  • Utilize VA-approved software and portals for data analysis, reporting, and consult management.
  • Support multidisciplinary teams by coordinating program activities and maintaining accurate documentation.
  • Apply organizational skills to manage multiple priorities in a fast-paced clinical environment, ensuring program efficiency.
  • Performs other related duties as assigned.
Work Schedule: Monday-Friday 7:30AM-4:00PM; 8:00AM-4:30PM; 8:30AM-5:00PM

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/06/2026.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. - (Documentation Submitted)
Typing Requirement: This position has a typing requirement of 40 words per minute.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
  • Procurement processes necessary to obtain goods and services for an office.
  • Performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics.
  • Assisting in the formulation and execution of budget estimates to include updating budget spreadsheets which are used in briefings. collecting, compiling and tracking data and information.
  • Researching reference materials, regulations, and standards to identify appropriate action necessary to correct problems or issues.
  • Delivering effective customer service to a diverse audience.

Physical Requirements: The incumbent's work requires walking throughout the Orlando VAHCS, standing, bending and carrying items such as books, papers and files.
