DEPARTMENT: Project Coordinator
LOCATION: American Games and International Gamco
SCHEDULE: MON-FRI (8:00 AM - 5:00 PM)

What You'll Do

This position is a full-time permanent position in a manufacturing environment which produces charitable and lottery gaming products, including pull-tab tickets (break-open tickets), bingo paper and bingo dabbers.

The Project Coordinator plays a critical support role within the project management function, serving as the operational backbone for project execution. This position is responsible for coordinating project activities, maintaining schedules and documentation, tracking progress and costs, and facilitating clear, timely communication across internal teams and external partners.

The Project Coordinator acts as the central "hub" of assigned projects-ensuring tasks move forward efficiently, deadlines are met, risks are identified early, and information flows seamlessly-allowing Project Managers to focus on strategic planning, decision-making, and stakeholder alignment.

This role requires exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

Additional Duties and Responsibilities Include:

  • Maintain and update detailed project plans, schedules, timelines, work hours, budgets and expenditure tracking.
  • Prepare and distribute project documentation, status reports, dashboards, and presentation materials for internal leadership and external stakeholders.
  • Track milestones, deliverables and dependencies to ensure alignment with approved project scope and objectives.
  • Coordinate project activities, resources, equipment and information across departments.
  • Break down larger projects into actionable tasks and ensure deadlines are established, monitored and adjusted as needed.
  • Support workload balancing and resource planning in collaboration with Project Managers.
  • Serve as the primary point of contact for project-related communications.
  • Facilitate communication between project teams, leadership, vendors and external clients to ensure alignment and timely resolution of issues.
  • Proactively follow up on action items to ensure accountability and completion.
  • Schedule, organize, attend and actively participate in project and stakeholder meetings.
  • Document meeting agendas, minutes, decisions, action items and follow-ups.
  • Ensure meeting outcomes are communicated clearly and tracked to completion.
  • Monitor project progress to identify potential risks, bottlenecks, schedule conflicts or resource constraints.
  • Escalate issues promptly, providing data-driven insights and recommended solutions when possible.
  • Maintain accurate, current and well-organized project documentation.
  • Ensure all project files are properly stored in shared, secure and accessible systems in compliance with company standards and audit requirements.
  • Monitor project outputs to ensure adherence to established quality standards, internal procedures and applicable frameworks.
  • Support continuous improvement by identifying process inefficiencies and recommending enhancements.
  • Perform other related duties assigned to support project and departmental objectives.

What You'll Need

  • Bachelor's degree in Business Administration, Marketing, Project Management, or a related field preferred, or equivalent relevant work experience.
  • Minimum of 1-3+ years of experience in project coordination, administrative support or a similar role.
  • Experience working in a manufacturing or production environment preferred.
  • Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) certification preferred.
  • Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Experience with project management tools such as Asana, Jira, Trello, MS Project, Smartsheet or similar platforms.
  • Familiarity with project management methodologies.
  • Exceptional verbal and written communication skills with the ability to interact professionally across all organizational levels and with external partners.
  • Strong organizational, multitasking and time-management skills with the ability to work under pressure and meet deadlines.
  • High attention to detail with a commitment to accuracy and documentation integrity.
  • Proactive, self-motivated, and solution-oriented mindset with the ability to anticipate project needs.
  • Ability to work collaboratively and effectively in a diverse, cross-functional team environment.
