About the Role
Clarvida is seeking a detail-oriented and proactive Office Assistant.
As an Office Assistant, you will be responsible for a variety of administrative tasks, including answering and directing phone calls, greeting visitors, handling mail and faxes, maintaining office supplies, scheduling meetings, and assisting with billing and special projects. Your role is crucial in ensuring smooth day-to-day operations and supporting program staff and management.
Responsibilities
  • Answer and direct phone calls; take messages as appropriate

  • Greet visitors and direct them to the appropriate person

  • Prepare outgoing faxes and distribute incoming faxes

  • Photocopy a broad range of materials

  • Schedule meetings and appointments

  • Type routine correspondence and prepare files as assigned

  • Maintain and order inventory of office supplies

  • Assist in new hire set-up process for office or program

  • Maintain and ensure HIPAA, ethical standards, and professional boundaries with all staff and clients

  • Assist with billing to clients or Medi-Cal and Medi-Care

  • Research and prepare special projects as assigned. Recommends changes to internal office procedures and workflow

  • Assist supervisor or management in the development of the work unit's annual budget, contracts, and monitoring adherence to such on a monthly basis

  • Attend meetings and/or trainings to take notes or minutes

  • Handle or assist with small office moves (office furniture)

  • Other duties as assigned or necessary to support the program, office, and/or the company

Required Qualifications
  • High School Diploma or GED with computer or business courses

  • One year of work experience, preferably in an office setting providing general clerical support

  • Excellent phone manner, good arithmetic skills, and strong spelling, grammar, and punctuation skills

  • Intermediate level PC skills required

  • Excellent organizational, interpersonal, computer, and communication skills

  • Ability to effectively prioritize and manage time

Compensation & Benefits
  • Salary: $21.00 - $22.00/hour
