Rate Negotiable
M-F 8am-5pm (flexibility allowed) and Hybrid in office/remote
Responsibilities:
• Calendar Management: Manage the President's calendar, including scheduling meetings, appointments, and conference calls. Anticipate scheduling conflicts and proactively resolve them.
• Travel Coordination: Arrange domestic and international travel accommodations for the President, including flights, hotels, transportation, and itinerary planning. Ensure all travel arrangements align with the President's preferences and priorities.
• Communication Management: Serve as the primary point of contact for internal and external communications directed to the President. Screen and prioritize emails, phone calls, and other correspondence, providing timely responses or forwarding to the appropriate parties.
• Meeting Support: Prepare agendas, presentations, and materials for meetings attended by the President. Take detailed meeting minutes, follow up on action items, and ensure effective communication among stakeholders.
• Administrative Support: Assist the President with various administrative tasks, including expense reporting, document preparation, filing, and data entry. Handle confidential information with discretion and maintain strict confidentiality at all times.
• Relationship Management: Build and maintain positive relationships with internal and external stakeholders on behalf of the President. Act as a liaison between the President and key stakeholders, including executives, clients, partners, and board members.
Qualifications:
• Bachelor's degree in business administration, communications, or related field preferred.
• Proven experience as an executive assistant or similar role supporting C-suite executives.
• High level of discretion and integrity when handling confidential information.
• Exceptional organizational skills and attention to detail.
• Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels.
• Proficiency in Microsoft Office suite and other productivity tools.
• Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
