Position Summary

The Chief Executive Assistant provides high-level administrative and operational support to the Chief Executive Officers and Executive Leadership Team. This role is responsible for managing executive schedules, coordinating meetings and travel, preparing professional communications, tracking organizational initiatives, and ensuring the Executive Office operates efficiently. The ideal candidate is highly organized, detail-oriented, maintains the highest level of confidentiality, and thrives in a fast-paced environment supporting executive leadership.

Key Responsibilities
  • Manage executive calendars, appointments, meetings, and travel arrangements.
  • Prepare agendas, presentations, reports, meeting materials, and executive correspondence.
  • Record and distribute meeting minutes while tracking action items and project deadlines.
  • Coordinate Executive Leadership, Board, Director, and Strategic Planning meetings.
  • Support organizational projects by tracking timelines, maintaining documentation, and collaborating across departments.
  • Maintain confidential executive files, records, and electronic filing systems.
  • Coordinate document approvals, organizational communications, and executive reports.
  • Assist with leadership events, conferences, training sessions, and organizational meetings.
Qualifications

Required:

  • Associate's degree required; Bachelor's degree preferred in Business Administration, Healthcare Administration, Communications, or a related field.
  • Minimum of three years of executive administrative support experience.
  • Excellent organizational, communication, and time management skills.
