JOB SUMMARY
The Performance Management Office Manager is responsible for coordinating training preparation, managing departmental administrative services, and ensuring organized, efficient office operations. Key duties include preparing and setting up training materials, overseeing printing and copying requests, scheduling meetings and spaces, maintaining inventory of office and training supplies, placing orders, and managing calendars. The role supports staff and operations through strong organization, reliability, and attention to detail.
MAJOR DUTIES & RESPONSIBILITIES
1. Prepare, organize, and set up all training materials and supplies in advance of scheduled trainings to ensure sessions are fully ready and run smoothly.
2. Manage and complete departmental printing, copying, and document preparation requests in a timely and accurate manner.
3. Schedule, book, and organize meeting and training spaces, ensuring rooms are properly arranged and equipped as needed.
4. Manage departmental calendars and meeting schedules, coordinating logistics to support staff, trainings, and departmental priorities.
MAJOR DUTIES & RESPONSIBILITIES CONTINUED
5. Maintain organized inventory of all office materials and training supplies, ensuring materials are tracked, stored properly, and readily available; Monitor supply levels and place orders for office and training materials as needed to support uninterrupted department operations.
6. Assist in budget monitoring and expense tracking, providing support in maintaining financial records and processing invoices
7. Other duties as assigned.

LEADERSHIP RESPONSIBILITIES
Level 1-No supervisory responsibilities. May provide occasional work guidance, technical advice, and training to staff.
WORK COMPLEXITY/INDEPENDENT JUDGMENT
-Work and tasks are often straightforward, routine, structured and guided by established policies and procedures. Little, if any, independent judgment is required, outside of making basic choices in the selection and application of established methods. The job receives frequent, ongoing supervision.
BUDGET AUTHORITY
-Compiles and organizes data and figures.
PROBLEM SOLVING
-Decisions are made on routine matters affecting few individuals and usually within the confines of the job's own department. Specific job activities and results are typically reviewed closely. There are limited requirements for developing new ideas or changes in methods, procedures, or services.
IMPACT OF DECISIONS
-Decisions have minor, small and possibly incremental impact on the department or facility. Errors are usually discovered in succeeding operations where most of the work is verified or checked and is normally confined to a single department or phase of the organizational activities resulting in brief inconvenience.
COMMUNICATION/INTERACTIONS
-Basic communication - very little communication required such as receiving basic instructions. Interactions are mostly with customers, own supervisor, and co-workers in own department.
CUSTOMER RELATIONSHIPS
-Follows through with customer inquiries, requests, and complaints. Forwards difficult and non-routine inquiries or requests to appropriate level for resolution.
WORKING/ENVIRONMENTAL CONDITIONS
-Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements.
